The On‑Site Manager (OSM) plays a pivotal role in ensuring the successful execution of projects at Clutter Cleaner of Boston. Their primary responsibility is to guarantee that all work is completed to the client's satisfaction. Upon assignment to a client's project, the OSM ensures they thoroughly understand their needs, the scope of work, timelines, concerns, and project constraints from the travel team project coordinator.

Depending on the project, the OSM may also participate in client assessments, planning meetings, or pre-project walkthroughs with the Owner or Operations Manager. Following this comprehensive assessment by the Operations Manager or Owner, the OSM develops a detailed project plan outlining the schedule of events. This project plan is actively managed and adjusted as necessary throughout the project's duration to accommodate any changes or unforeseen challenges.

By maintaining open communication and a flexible approach, the OSM ensures that client expectations are met and that the project progresses smoothly.

In addition to these responsibilities, the OSM oversees the on‑site team, ensuring that all members are aligned with the project's objectives and are performing their tasks efficiently. They also manage resources, including equipment and supplies, to ensure that the team has everything needed to complete the job effectively. Regular quality control checks are conducted to maintain high standards of service delivery.

Duties and responsibilities
  • Client Consultation, if requested, by the Owner or Operations Manager
    :
    Meet with clients to thoroughly understand their needs, project scope, timelines, concerns, and constraints.
  • Project Planning
    :
    Develop a comprehensive project plan and create a client calendar outlining the schedule of events, adjusting as necessary throughout the project's duration.
  • Floor Plan Development if necessary
    :
    Create and present floor plans tailored to the client's requirements.
  • Home Preparation Management
    :
    Oversee all aspects of preparing a client's home for sale, including staging and necessary repairs.
  • Stakeholder Communication
    :
    Serve as the primary liaison, coordinating with realtors, vendors, movers, family advisors, and family members to ensure alignment and smooth communication.
  • Logistics Coordination
    :
    Arrange for material deliveries, donation pickups, trash hauls, cleanouts, estate sales, house cleaning, and any other services required for the project.
  • Scheduling
    :
    Organize and schedule staff and vendors to address all aspects of the project efficiently.
  • Team Support
    :
    Ensure that staff members have the necessary information, tools, and materials to perform their tasks effectively.
  • Inventory Documentation
    :
    Maintain detailed records of items being donated, sold, or disposed of, ensuring accurate documentation for client reference.
  • Financial Oversight
    :
    Monitor project invoices, collaborate with the bookkeeper on periodic and final billing, and review invoices for accuracy, including team members' daily time logs.
  • Quality Assurance
    :
    Conduct regular quality control checks to maintain high standards of service delivery and client satisfaction.
  • Problem Resolution
    :
    Proactively identify and address any issues or challenges that arise during the project, implementing effective solutions to keep the project on track.

Qualifications

Experience and Education
:
College degree or equivalent combination of relevant work and life experience. Experience in project management, senior services, moving, organizing, hospitality, customer service, property management, healthcare, or another client‑focused service environment is beneficial.

Technical Proficiency
:
Proficient in applications such as Word, Excel, PowerPoint, and Teams. Experience with CRM platforms and operations software a plus.
