As Office Operations Manager for our Boston location, you'll be the driving force behind everything that keeps a high-performing workplace running smoothly — from building services and security to reception, hospitality, and emergency preparedness. You'll partner with vendors and outsourcing providers to deliver seamless service, and collaborate closely with senior leadership on high-impact projects that shape the firm's operational future.

Responsibilities include:
- Oversee all aspects of office operations, ensuring seamless service delivery, continuous improvement, and proactive responsiveness to client and administrative needs.
- Manage relationships with the outsourced service provider, building landlords, and outside vendors/consultants, including contract negotiation and performance monitoring.
- Lead building services and safety initiatives, including security, ergonomics, ADA compliance, and emergency preparedness programs.
- Oversee and develop Conference Center staff to ensure premier, disruption-free service for internal clients and event planners.
- Manage office assignments, staff arrivals/departures, and space planning, including needs assessments and coordination of relocation or renovation projects.
- Partner with the Senior Office Operations Manager and Director of Administration on budgeting, capital planning, and cost-reduction strategies.
- Support and help lead complex administrative and operational projects, including timelines, documentation, and cross-departmental communication.
- Provide backup reception coverage with a smile.
Qualifications include:
- Bachelor's degree required, with a minimum of five years managing a full-service client operation (reception, office services, events, and conference rooms); law firm or professional services experience highly desirable.
- Minimum five years of supervisory experience building and leading service-oriented, high-performing teams, with proven ability to manage effectively across all levels of the organization.
- Skilled in vendor management and contract negotiation, with strong project management experience coordinating contractors, vendors, and suppliers.
- Solid knowledge of facilities maintenance, life safety systems, and safety training, along with familiarity with building codes, fire codes, ADA, and OSHA standards.
- Proven experience planning and hosting internal and external events, paired with strong budget preparation and financial analysis skills.
- Proficient in Microsoft Office, conference room management software, and AI tools (e.g., ChatGPT, Claude), with experience in document management and emergency notification systems a plus.
- Highly organized and proactive, with strong problem-solving, communication, and relationship-building skills, and the ability to manage multiple priorities under deadline pressure.
- Demonstrated accountability and initiative in driving continuous improvement, with flexibility to adapt work schedule as needed to meet business demands.
- This role is on-site 5 days per week.

Boston salary range: $122k to $169k
