DescriptionTo fulfill client service needs, this full time 40‑hour, Sunday‑Thursday position covers second shift hours from 1‑9:30 pm.
This Client Care Coordinator is an essential part of our Dentistry and Ophthalmology services. You will work collaboratively with doctors, technicians, and support staff to ensure seamless delivery of excellent client service while a pet is hospitalized. The Coordinator will act as an integral point person for both clients and veterinary staff, liaising information, facilitating patient movement within the hospital, and providing our clients with a valuable resource during their pet’s hospitalization.
Ideal applicants will have at least 2 years experience in a hands‑on and/or client service role in a veterinary facility, animal shelter/humane society, or other animal related field. Relative experience in a human medical position is also welcomed. Substitutable experience includes 2 years in the hospitality or service industry.
THE POSITION
Join our team of Client Care Coordinators who facilitate client care from patient admission to discharge. They serve as a lifeline to clients during their pet’s hospitalization – providing status updates, sending patient photos, and addressing questions/concerns to ensure the client is comforted and informed during their pet’s care. This non‑clinical client service role is perfect for someone who excels in providing outstanding client service, but wants the opportunity to also work with animals in a less technical role.
SOME DUTIES INCLUDE
- Meet with clients at patient drop‑off and facilitate patient admission to the hospital, transporting the pet to their treatment areas.
- Follow the inpatient population to provide patient status updates to families via phone, email, or text.
- Provide photo updates and facilitate in‑person or video visits to families.
- Assist with creation of financial estimates prior to procedures.
- Celebrate patient success and offer kindness in the face of challenges and loss, demonstrating comfort care to patients and clients.
- Facilitate communication between the doctor and client during inpatient care, addressing questions, soothing concerns, relaying status and policies, and gaining permission for diagnostics or procedures including presentation of financial estimates.
- Facilitate patient discharge, reuniting the pet with its family and guiding the client through home care and medication instructions.

APPLICANT REQUIREMENTS
- Excellent verbal and written communication skills.
- Proven excellence in client service.
- Knowledge of principles and processes of animal handling/patient care and common veterinary drugs.
- Focus on operational/organizational excellence.
- Demonstrates patience and empathy, strengths needed for this position.
REQUIRED QUALIFICATIONS
Associate’s degree or better in Animal Science or related field.

PREFFERED EXPERIENCE
Previous work experience in a fast‑paced, multi‑veterinary hospital, emergency/referral practice or veterinary teaching hospital is a plus.
