Job Description

We are looking for a professional, service-oriented Concierge/Floater to serve as the first point of contact for residents, visitors, and vendors while ensuring smooth daily building operations. This individual will be responsible for greeting and logging guests, managing visitor and package records, maintaining detailed shift and activity logs, and providing high-touch resident services such as lockout assistance, key management, and coordinating deliveries.

The role also includes supporting resident events, monitoring security systems, coordinating move-ins and elevator scheduling, entering and following up on maintenance requests, and conducting routine inspections of common areas to ensure cleanliness and safety. The ideal candidate is organized, proactive, and calm under pressure, with strong communication skills and the ability to handle administrative, operational, and emergency response responsibilities with professionalism and attention to detail.

Staff Duties
  • Greet residents/visitors/vendors when they arrive, ensuring guests who don’t live there are logged into the visitor or vendor log.
  • Maintain all applicable logs, updates, files, and relevant computer and/or paper log systems relevant to building operations and maintain accurate and complete shift notes and “pass-on” logs to ensure successful communication through shift changes.
  • Maintain key log for cars parked in garage, move cars as needed for residents/parkers. Maintain applicable logs as needed.
  • Answer phones and greet prospects in a professional manner.
  • Accept packages for residents who have provided a “Package Authorization Form” and maintain the “Delivery Log”. May be asked to deliver or assist with delivery of packages as needed to residents.
  • Provide resident services to include, but not being limited to: lockout assistance, holding resident keys, calling taxis, accepting dry cleaning and holding cleaning for pick up, providing access to homes for authorized personnel.
  • Assist with organization, set-up, implementation, and clean-up of all resident events hosted by the community.
  • Update schedules for resident move-ins/outs and elevator usage through appropriate coordination with supervisor and the Charlesgate Management office.
  • Help in providing new residents with orientation to the community, including services provided both at the community and through the Concierge Desk.
  • Pass any received maintenance requests to the manager in a prompt manner.
  • Immediately contacts emergency maintenance personnel if an emergency maintenance situation develops.
  • May be asked to assist with filing documents or to review the daily activity of various transactions that take place at the community by auditing files. Act as clerical support as time or shift coverage permits.
  • Conducts routine inspections of all common areas including, but not limited to, front of the building (shovel snow in front of entry door if needed), lobby, church common areas, laundry room, each level of the garage, compactor, recycle and trash area, are maintained in an appropriate manner. Confirms that areas have proper supplies, clean, and maintained including taking out trash if needed.
  • Monitors security systems (building access and Fire Control System) and insures buildings and property are secured and safe.
  • Contact the applicable public service response organization (fire department, police, EMS, etc) in case of emergency (fire, criminal activity, death, severe water damage, or other major catastrophes) and the Property Manager. Follow applicable emergency procedures.
