Join a High-Performing Hospitality TeamCambria Hotel Boston Downtown is seeking an organized, detail-oriented, and service-driven Sales Coordinator to support our growing Sales Department. This is an exciting opportunity to join an entrepreneurial hotel team where your work directly impacts revenue, guest satisfaction, and overall hotel success.
As the Sales Coordinator, you will serve as the operational backbone of the sales office, supporting group business, client communications, reservations coordination, billing processes, and administrative functions. You'll work closely with the Director of Sales and hotel leadership while gaining exposure to all aspects of hotel sales and business development.
What You’ll DoSales & Group Coordination- Build and manage group blocks, events, and reservations within Choice Advantage PMS and STS.
- Prepare contracts, room blocks, PM accounts, billing arrangements, and reservation booking links.
- Coordinate rooming lists and special requests with clients and groups.
- Manage deposits, billing instructions, routing details, and post-event actualization.
- Prepare group resumes and participate in operational planning meetings.
- Serve as a liaison for FIT accounts, wholesale reservations, and airline crew accommodations.
- Assist with site inspections and sales appointments.
- Maintain CRM databases, sales reports, files, and departmental records.
- Coordinate VIP arrivals, amenities, and guest welcome communications.
- Support sales office organization and inventory management.
- Draft professional correspondence and assist with day-to-day departmental operations.
- Participate in weekly sales meetings and special projects.
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Professional, positive, and team-oriented attitude.
- Proficiency with Microsoft Office Suite.
- Previous hotel front desk and/or hotel reservations experience required.
- Proficiency with hotel PMS, CRM and Microsoft Office suite required.
- Full-time position (typically 32-40 hours per week)
- Primarily Monday through Friday business hours
- Occasional evenings, weekends, or special event support may be required
