Maintenance Coordinator
The Maintenance Coordinator serves as in-office support for the field service technicians. This position is responsible for administering the collection and compilation of information for billing. Issuing, scheduling, processing & tracking the completion of work orders. Serve in a support role for the Maintenance Manager with various projects.
Job Duties & ResponsibilitiesDuties include but are not limited to:
- Identify and resolve maintenance, materials, supplies, and staffing problems.
- Maintain, update, and plan the schedule, including assigning tasks to staff and hiring subcontractors.
- Review, evaluate, and prioritize requests for maintenance.
- Report on activities, budget, supplies, and planned projects.
- Communicate any budgetary adjustments in revenue or expense to comptroller.
- Communicate maintenance schedules.
- Maintain thorough communication with Community Managers.
- Prepare and submit proposals given by Maintenance Manager and/or techs.
- Complete weekly billing process and respond to billing inquiries.
- Submit reporting as needed including weekly materials and labor revenue to budget, tech efficiency and business updates.
- Maintain a filing system to organize all technician's receipts and paperwork.
- Communicate with various departments to ensure that fleet vehicles are maintained and are operating properly.
- Processing Subcontracting invoices and issue payments in a timely manner.
- Other duties as assigned.

· Vacation accrual begins after 90 days at 6.67 hrs per month with a cap at 160 hours, depending on years of service.

- Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level.
- Basic knowledge of general maintenance.
- Professional communication skills (phone, interpersonal, written, verbal, etc.).
- Professional customer service skills.
- Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at a proficient level.
- Interpretation and completion of verbal and/or written instructions at a proficient level.
- Knowledge of general office equipment (copier, fax, phone systems, etc.).
- Knowledge of company policies, procedures and forms.
- Time management and time critical prioritization skills.
- Associates Degree Preferred.
- At least 2 years of directly related or closely related experience.
