Fiscal Support Coordinator

Perform operational and technical support for school sites and departments in financial system use, student activity fund management, and bookkeeping practices. Assist with the planning and delivery of training programs to ensure effective system utilization. Support system administration activities, including user access, troubleshooting, and updates. Conduct compliance reviews to ensure adherence to district policies, procedures, and financial controls. Collaborate with Fiscal Services leadership to improve processes, strengthen internal controls, and maintain regulatory compliance.

Essential Duties and Responsibilities
  • Provide day-to-day support for district financial systems, including My School Bucks , by assisting users, troubleshooting issues, and coordinating with system vendors. (Daily, 20%)
  • Provide bookkeeping support to school sites, including transaction processing, reconciliations, financial documentation, and record-keeping procedures. (Daily, 15%)
  • Respond to questions related to financial systems, bookkeeping practices, student activity funds, and district procedures as a resource to school and department staff. (Daily, 15%)
  • Support oversight of student activity funds through transaction review, monitoring, follow‑up, and communication of findings to ensure compliance with policies and internal controls. (Daily, 15%)
  • Assist the Fiscal Services Training Supervisor in delivering in-person and virtual trainings related to financial systems, bookkeeping procedures, student activity funds, and internal controls. (Weekly, 10%)
  • Support development and maintenance of training materials, user guides, and procedural documentation. (Monthly, 5%)
  • Conduct site-level reviews of financial activity and processes to support internal controls, identify discrepancies or compliance concerns, and provide results to supervisor/management. (Weekly, 5%)
  • Identify and communicate training gaps, common errors, and process improvement opportunities to the Fiscal Services Training Supervisor. (Monthly, 5%)
  • Assist in implementing process improvements to enhance efficiency and strengthen internal controls across school sites and departments. (Monthly, 5%)
  • Perform other duties as assigned or requested. (Daily, 5%)
Reporting Relationships

There are no direct supervisory responsibilities.

Minimum Qualifications
  • Criminal background check and fingerprinting required for hire.
  • Associate's degree in finance, accounting, business, or related field; or equivalent experience or formal education beyond high school.
  • Experience with reconciliations, transaction review, or financial record-keeping.
  • Proficiency in Microsoft Office Suite, especially Word, and basic Excel functions with ability to learn advanced reporting functionality.
  • Basic knowledge of internal controls and compliance practices.
  • Intermediate knowledge of business systems, processes, and procedures.
  • Intermediate communication and customer service skills.
  • Ability and willingness to be flexible, embrace change, and learn quickly.
Physical Requirements and Working Conditions
  • Work location subject to change to meet organizational needs.
  • Sedentary work, strength level lifting or carrying up to ten pounds.
  • Primarily works indoors with moderate noise level.
Desired Qualifications
  • Experience with My School Bucks  or similar payment systems.
  • Experience supporting or assisting with staff training.
  • Experience working with ERP systems (e.g., Oracle).
  • Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds.
  • Familiarity with student activity fund accounting.
  • Cultural competence and commitment to continuous improvement.
