The Division of Racing is looking for a Temporary Licensing Specialist (Administrative Assistant III). A typical day includes managing the applications process for the Racing Division: accepting and processing applications, receiving payment, maintaining records, and handling customer service. In-depth experience with diverse customer clientele in a licensing or regulatory environment is required.
Application Processing- Follow established procedures to receive and process all ownership applications.
- Ensure applications are complete, have proper fees, and are processed in the database.
- Prepare reference letters, conduct computer checks on applicants and generate renewal notices.
- Issue licenses after Director approval.
- Develop scanning and indexing standards and procedures.
- Scan all correspondence relating to license files.
- Ensure staff are meeting standards by reviewing scanned files.
- Perform license application processing.
- Conduct background checks to determine statutory and regulatory suitability of applicants for a support racing license.
- Interview and consult applicants with problems that would prevent suitability to gain compliance.
- Fingerprint applicants.
- Finalize all disciplinary actions taken by the Division against licensees.
- Ensure the outcome of disciplinary action is accurately reflected in the licensing database and scan all documentation.
- Three years of general clerical experience.
- Experience providing exceptional customer service in a call center and/or online; interfacing with a variety of people.
- Data entry into a program or database (appointments, contact information, customer records).
- Daily work responsibilities utilizing office equipment and software (E‑Mail, Microsoft Office, Google Apps, etc.).
- Typing professional emails, letters, reports, briefings, forms, memoranda, etc.
- Reviewing and comparing data for accuracy and completeness; gathering specified information and compiling routine reports.
- Documentation of general clerical and call center experience required on application.
- Fluency in Microsoft Office Suite (Word, Excel, Access), Gmail, and Google Applications.
- Demonstrated ability to communicate clearly using a variety of tools.
- Strong attention to detail and ability to analyze information to determine an outcome.
Special Requirements
- Willingness to work nights, weekends, holidays, and maintain on‑call status while off‑duty for emergency response.
- Willingness and ability to lift, carry, or move objects occasionally up to 50 pounds.
- Random drug tests may be required of all positions.
- Must operate in a manner that maintains the highest standards of honesty, integrity, and public confidence.
- Must file all necessary Colorado Individual Income Tax (CIIT) returns and pay tax obligations; undergo pre‑employment evaluation of tax records.
- Must complete successful background investigation and reference check prior to appointment.
- Workers expected to drive a state‑owned vehicle must maintain a safe driving record and a valid driver license.
- Motor Vehicle Records (MVRs) will be pulled for workers with assigned state fleet vehicle or who are required to operate a vehicle as part of the position.
