Job Summary
The College of Arts & Sciences at CU Boulder seeks a Professional Assistant to provide comprehensive operational and administrative support for the Dean’s Office. The role involves calendar management, liaison duties, project coordination, fiscal oversight, event planning, and program administration, ensuring smooth day‑to‑day operations and high‑level executive support.
Key Responsibilities- Calendar Management and Room Reservations: Oversee scheduling for the Dean and senior leaders, prioritize confidential appointments, coordinate with senior aides, and ensure conference room availability through Outlook and CCURE.
- General Administration: Serve as the primary liaison among 60+ departments and university stakeholders; resolve issues, maintain correspondence, and uphold procedural consistency.
- Administrative and Project Support: Assist the Senior Executive Aide with research, meeting preparation, data compilation, and project coordination; draft communications and maintain official records.
- Office & Equipment Management: Manage copier leasing, office supplies, multi‑line phone system, and property acquisition/disposal for the Dean’s Office.
- Fiscal and Purchasing Responsibilities: Authorize expense reports in Concur, coordinate travel arrangements, supervise purchasing in CU Marketplace, and reconcile purchase orders.
- Initiative Oversight: Coordinate A&S Fund for Excellence (ASFE) application review, Faculty Leadership meetings, Faculty Senate, Staff Advisory Committee, and multiple faculty award programs (Kayden Awards, Provost’s Faculty Achievement, College Scholar Awards, University Distinguished Professor).
- Events Management: Plan, coordinate, and execute official College and Dean’s Office events, including budgeting, vendor negotiations, logistics, and compliance with campus policies.
- Onboarding/Offboarding: Facilitate employee transitions, manage listserv updates, technology access, and coordinate announcements.
- Bachelor’s degree or equivalent combination of education and experience.
- 2+ years of professional‑level operations or administrative support for high‑level executives.
- Demonstrated problem‑solving, decision‑making, and organizational skills.
- Strong written, verbal, and interpersonal communication abilities.
- Experience working with calendaring software and Microsoft Office, especially Outlook and Excel.
- Capacity for confidentiality, discretion, and independent judgment.
- 3+ years of executive‑level administrative support.
- 3+ years of experience in education program administration.
- Knowledge of complex educational policies and procedures.
- Experience in a higher‑education environment, particularly administrative roles.
- Supervisory or coaching experience.
Annual salary range: $52,000–$60,000. The University offers a comprehensive package including medical, dental, retirement plans, paid time off, tuition assistance, and an ECO Pass for local transit.
