Coordinator To The Director, Corporate Partnerships
The Coordinator to the Director, Corporate Partnerships provides high-level administrative, operational, and project coordination support to the Director of Corporate Partnerships while serving as a central resource for the broader Corporate Partnerships department.
Reporting directly to the Director, this role manages complex scheduling, meeting coordination, departmental communications, budget administration, project tracking, and operational processes that support the successful execution of departmental priorities. The Coordinator also assists with cross-functional initiatives, leadership meetings, reporting, special projects, and day-to-day administrative operations across the Corporate Partnerships team.
This position requires exceptional organization, discretion, professionalism, and attention to detail, with the ability to anticipate needs, manage competing priorities, and maintain confidentiality while supporting executive-level work.
This full-time position is based within a commutable distance to Boulder, CO, Los Angeles, CA, or New York City, NY in order to work onsite in a hybrid capacity throughout the year. The role requires flexibility, including occasional extended hours, evenings, weekends, and travel in support of Institute meetings, events, and Festival operations as needed.
Sundance Institute is a unionized workforce and this position is in the bargaining unit.
Top priorities include but are not limited to:
- Managing the Director's calendar, meeting schedules, travel arrangements, and logistical planning while proactively identifying scheduling conflicts and priorities.
- Coordinating meeting agendas, preparing presentation materials, document action items, and ensuring timely follow-up on departmental priorities.
- Drafting, editing, proofreading, and coordinating correspondence, reports, presentations, and other executive communications.
- Managing confidential information with professionalism, discretion, and sound judgment.
- Supporting preparation for Leadership meetings, Board meetings, partner meetings, and other high-level engagements.
- Serving as a central point of coordination for departmental meetings, communications, workflows, and operational processes.
- Coordinating onboarding activities, departmental documentation, organizational charts, and internal resources.
- Maintaining departmental files, records, templates, contact lists, and operational documentation.
- Supporting coordination of cross-functional projects and departmental initiatives led by the Director.
- Assisting with planning department meetings, retreats, leadership sessions, and team events.
- Supporting the Director with budget administration, expense tracking, purchase requests, invoice processing, and financial documentation.
- Maintaining departmental budget reports, monitor expenditures, and assist with forecasting updates.
- Coordinating vendor agreements, contracts, purchase orders, and related administrative documentation.
- Partnering with Finance to ensure timely processing and compliance with organizational policies.
- Tracking departmental priorities, strategic initiatives, and project timelines to support successful execution.
- Assisting with partner meetings, sponsorship documentation, reporting, presentations, and other partnership-related projects.
- Coordinating logistics for partner events, leadership meetings, and Festival-related activities.
- Supporting data collection, reporting, CRM updates, and maintenance of departmental tracking systems.
- Building positive working relationships across the Corporate Partnerships department and with internal stakeholders throughout Sundance Institute.
- Contributing to a collaborative, equitable, and inclusive team culture that supports organizational success.
- Identifying opportunities to improve administrative processes, operational efficiency, and departmental organization.
- Performing other duties and special projects as assigned by the Director in support of departmental priorities and organizational goals.
You have the following direct or transferable qualifications and skills:
- 2 years of experience providing administrative, executive, project coordination, or operational support.
- Demonstrated experience supporting a leader, executive, or complex cross-functional teams.
- Exceptional organizational and time management skills with the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills with strong attention to detail and accuracy.
- Experience preparing presentations, reports, meeting materials, and executive correspondence.
- Strong financial and administrative aptitude, including experience supporting budgets, expense tracking, invoices, or purchasing processes.
- Advanced proficiency with Microsoft Office, Google Workspace, spreadsheets, presentation software, and other project management tools.
