Department and Events Coordinator
The Department of Psychology and Neuroscience at CU Boulder invites applications for the Department and Events Coordinator position! This role supports faculty and department operations in the Department of Psychology and Neuroscience by managing front office functions, coordinating department purchasing, and executing a wide range of events. This position serves as a central point of contact for daily operations, providing direct support to faculty, staff, students, and visitors while ensuring efficient and consistent processes and compliance with university policies and administrative requirements.
Working closely with faculty, staff, and campus partners, the Department and Events Coordinator oversees front office workflows, supervises student employees, and manages logistics for department events and recruitment activities. This role coordinates event planning and execution, including scheduling, vendor coordination, budget tracking, and communications, while maintaining systems and processes that support department teaching, research, and administrative functions. Through strong organization and attention to detail, this position ensures reliable day-to-day operations and contributes to a well-run and collaborative department environment.
The Department of Psychology and Neuroscience is composed of Faculty, Staff, Research Assistants, Graduate Students, and Undergraduate Students. Through teaching, learning, research, and community outreach, we seek to promote scholarship at the intersection of psychology and neuroscience. Driving this mission is a deep, shared commitment to improving the human condition for all people. The Department of Psychology and Neuroscience is responsible for over 3,700 students in two undergraduate majors and five PhD programs.
Our 52 faculty teach and conduct research on topics that range from the molecular to the community level. Our work is spread across multiple campus locations (MUEN, IBG, WILD, & CINC), with an annual budget of $20 million, which includes approximately $12 million in grant-funded research and $600,000 in gift funds.
Front Office Management
- Handles front office operations
- Determines scheduling priorities and maintains conference and testing room schedules and reservations
- Recruits, hires, schedules, and supervises student assistants to support front office operations, including:
- Processing copy requests, maintaining and troubleshooting copiers
- Sorting and distributing incoming mail and email
- Responding to inquiries from students and faculty via email, phone, and in person
- Ensuring appropriate use and security of keys
- Assisting with supply distribution and equipment checkout
- Supporting department events as needed
- Purchases and tracks department supplies
- Reviews P-Card transactions for compliance with university policies
- Maintains vendor relationships and coordinates copier lease agreements
Event Planning and Management
- Plan, lead, and implement a wide range of department events, from large-scale functions to smaller gatherings, including outreach, donor, and faculty, staff, and student events.
- Lead events with a high level of independence, using professional event management and communication practices with limited oversight and periodic review.
- Ensure compliance with University of Colorado policies related to events, including parking, safety, catering, facilities and grounds, and alcohol use.
- Handle event budgets independently, including vendor sourcing, cost comparison, invoice processing, and adherence to department and university financial guidelines.
- Purchase and track event materials such as décor, catering, and rentals, and develop and maintain vendor relationships, including contracts and invoicing.
- Recruit, train, and supervise volunteers and student workers, providing guidance and ensuring timely completion of event tasks.
