Happily is seeking an experienced Event Producer to lead the planning, management, and execution of live, hybrid, and virtual events. This role is responsible for owning the entire production lifecycle—from initial planning and budgeting through on-site execution and post-event wrap-up.

The ideal candidate is highly organized, proactive, solutions-oriented, and comfortable managing multiple stakeholders, vendors, and production elements simultaneously. They thrive in fast-paced environments, anticipate challenges before they arise, and take pride in delivering exceptional event experiences.

Key Responsibilities Event Ownership & Communication
  • Own the successful execution of assigned events from concept through completion.
  • Proactively identify and overcome production roadblocks, ensuring projects stay on track.
  • Serve as the primary production lead, maintaining alignment across:
  • The Happily team
  • Client-side execution teams
  • Event staff, vendors, and crew
  • Lead regular internal production meetings and provide consistent project updates.
  • Collaborate closely with Account Managers, who maintain strategic client relationships while you oversee event execution details.
  • Develop, manage, and reconcile event budgets, ensuring projects remain within approved financial parameters.
  • Identify cost‑saving opportunities while maintaining production quality.
  • Source, negotiate with, and manage vendors and production partners.
  • Collect invoices, track expenses, and coordinate timely vendor payments.
  • Maintain accurate financial records and reporting throughout the event lifecycle.
Venue & Contract Management
  • Manage venue relationships and coordinate all venue‑related logistics.
  • Review contracts to maximize included services and value.
  • Ensure venue agreements support all event requirements, including space allocation, catering, production access, and operational needs.
  • Oversee compliance with venue policies, timelines, and production requirements.
Production Planning & Logistics
  • Develop detailed production timelines covering pre‑event, event‑day, and post‑event activities.
  • Create load‑in, load‑out, and contingency schedules as needed.
  • Coordinate the transportation, installation, and strike of event assets, including:
  • Scenic elements
  • Signage
  • Registration infrastructure
  • Audio‑visual equipment
  • Projection and video systems
  • Ensure all production elements are delivered, installed, and operational according to schedule.
Show Calling & Event Execution
  • Lead on‑site event operations and maintain oversight of primary event spaces.
  • Anticipate challenges and troubleshoot logistical, technical, and operational issues in real time.
  • Manage run‑of‑show documentation and technical show flow, including:
  • Stage movements
  • Speaker transitions
  • Timing and execution
  • Ensure all creative, experiential, and production deliverables are completed to a high standard.
  • Source, interview, vet, and hire event professionals through the Happily network.
  • Build and manage event teams, including:
  • Production Managers
  • Registration Staff
  • Stage Managers
  • Event Support Crew
  • Delegate responsibilities effectively and maintain accountability across all team members.
Documentation & Asset Management
  • Maintain a centralized production deck and project documentation throughout the planning process.
  • Continuously update Google Slides and production materials with current:
  • Signage packages
  • Credentials
  • Creative assets
  • Production approvals
  • Ensure all stakeholders have access to accurate, up‑to‑date event information.
Qualifications
  • 5+ years of event production experience supporting conferences, corporate events, experiential activations, festivals, or live productions.
  • Demonstrated experience managing event budgets, vendors, venues, and production schedules.
  • Strong understanding of AV production, staging, registration operations, and live‑event logistics.
  • Exceptional organizational, communication, and project management skills.
  • Ability to remain calm under pressure and make critical decisions in live‑event environments.
  • Experience managing freelance, contract, and cross‑functional event teams.
  • Proficiency with Google Workspace, Google Slides, project management platforms, and production documentation tools.

  • Clients, internal teams, and vendors remain informed and aligned throughout the project lifecycle.
