Summary

FIRST RF is seeking a self-motivated and detail-oriented Human Resources Administrative Assistant to join our team. In this role, you will assist with full cycle recruiting and enhancing internal processes. Successful candidates are dedicated individuals who thrive in a team-oriented environment, must be approachable and responsive to a variety of people and issues, and must be an expert in written communication.

Key Responsibilities HR Program Development & Administration
  • Review and organize all active job descriptions and active requisitions for clarity, format, accuracy, readability, and consistency
  • Maintain and improve the company HR Confluence page for organizational efficiency
  • Conduct training for Hiring Managers on recruiting, interview scheduling, and onboarding processes
  • Work with C-Suite and lead engineers to refine language for FIRST RF standard operating procedures
  • Support Affordable Care Act reporting
  • Act as the permanent back-up to Receptionist & Administrative Assistant
Recruiting
  • Manage and organize interview documentation, including submitted resumes, Pay Scale reports, and other hiring materials
  • Perform initial screening of candidate resumes, allowing Hiring Managers to easily search for qualified candidates
  • Schedule and send out meeting invites for initial screenings and all extended on-site sessions
  • Collect and compile interview feedback, and communicate next steps to hiring panels
  • Conduct preparation for new hire orientation by coordinating onboarding process with IT, payroll, and hiring managers
  • Upload and process background checks, new hire documentation, I-9 forms, and E-Verify cases in HRIS and internal systems
  • Coordinate travel arrangements for out-of-state interview candidates with Office Manager
  • Partner with engineers to attend student group and career fairs at local universities
Intern Program Administration
  • Manage and organize interview documentation including submitted resumes, applications, and other hiring materials
  • Screen candidate resumes to work with Hiring Managers on scheduling interviews and sending meeting invites
  • Send intern offer letters, as well as hiring, onboarding, and orientation information
  • Upload and process background checks, new hire documentation, I-9 forms, and E-Verify Cases in HRIS and internal systems
  • Schedule events including end-of-summer activity and final presentations
  • Manage the sending of exit interview forms and compile responses into a presentation for supervisors and mentors
Social Media & Marketing
  • Create and lead recruitment marketing campaigns to boost applications and elevate employer branding
  • Draft and update all recruitment messaging with an eye toward retention and employee value proposition
  • Collaborate directly with C-Suite, security, and internal stakeholders to ensure releasability and approval of content on public platforms
  • Monitor social media and website engagement by maintaining content and outreach, as well as responses to comments and inquiries
Qualifications Required

Education and Experience
  • Must have U.S. citizenship and ability to obtain a U.S. Security Clearance
  • 0-5 years of experience
  • High school diploma or GED, or equivalent work experience
  • Proficiency in Microsoft Office
  • Possess strong written and verbal communication
  • Good judgement and decision-making
  • Ability to learn and complete training quickly

    Be able to collaborate with cross-functional leadership
Preferred

Education and Experience
  • Bachelor’s degree in Communication, English, or related field
