Administrative Assistant and Chapel Coordinator

The Administrative Assistant and Chapel Coordinator position is a regular full-time, 12-month position. This role is a direct report to the University Chaplain and serves as support for the Office of Spiritual Development while coordinating chapel services and other duties as assigned.

Essential Duties and Responsibilities
  • Point of contact for Office of Spiritual Development (OSD).
  • Creates a sense of belonging for the broader university community as well as outside guests who interact with the office.
  • Support and provide administrative assistance for the OSD staff:
    • Manage schedule of University Chaplain.
    • Maintain expense receipts, supports credit card reconciliation and reporting, processes check/reimbursement requests, and tracks budget transfers.
    • Manage room reservations, facilities work-orders, and catering requests.
  • Coordinate Chapel:
    • Speaker scheduling, correspondence, and contracts in conjunction with University Chaplain.
    • Logistics: travel, housing, and any on-site logistics including hospitality.
    • Media for chapel and campus digital signage, including Pro-Presenter.
    • Prepare and host Green Room for Office of Spiritual Development events.
  • Manage Chapel Attendance Program & Coordinate discipline with Dean of Discipline.
  • Assign chapel seats.
  • Manage chapel email correspondence.
  • Handoff discipline to the Dean of Discipline.
  • Provide financial assistance for Mission Trips in conjunction with the Shalom Project Director.
  • Manage all communication from Office of Spiritual Development:
    • Manage social media accounts with student worker.
    • Coordinate calendar and communication with office staff.
    • Manage OSD communication with campus; ie., revival promotion, social media, student ministries, discipleship groups, chapel, etc.
  • Participate in all staff meetings.
  • Point person for all OSD graphic design:
    • Coordinate design work for Spiritual Development events using outside graphic design personnel i.e. Chapel, Chapel Calendar, etc.
    • Coordinate with student worker design projects for student ministries, D-groups and social media promoting OSD and Shalom Project events.
  • Supervise OSD student workers.
  • SUPERVISORY RESPONSIBILITIES Student employees and volunteers.

  • Proficient in office administration with multiple staff, student workers, and support staff.
  • Computer literate – Familiar with Microsoft Office, Pro-Presenter, Astra, etc. Training for all programs is provided.
  • Ability to maintain confidentiality.
  • Additional Information

    EDUCATION Bachelor's degree preferred.

    WORK ENVIRONMENT Work from an office located on the balcony level of Ludwig Center. 12-month, non-exempt, fill-time staff position.

    SUPPLEMENTAL INFORMATION The salary for this position is $16.00 per hour. Additional considerations may be made for relevant experience and educational background.
