PositionSummary
The Marketing Coordinator is an integral part of the Sales & Marketing department, providing support to the sales team and all marketing efforts. This role coordinates the administration of departmental functions, including responding to prospective residents’ calls, managing the marketing calendar, coordinating events, and overseeing the application process for incoming residents. The Marketing Coordinator must deliver the highest level of customer service to team members, current residents, and prospects, and support the achievement of occupancy goals by establishing and managing deadlines.
Duties & Responsibilities- Deliver courteous, responsive service to residents and prospects, exemplifying our mission and values, identify the purpose of their visit, and direct them appropriately.
- Answer calls and respond to email inquiries, primarily from prospective residents.
- Process and archive department invoices, payments, refunds, and expense reports.
- Maintain and distribute weekly, monthly, and new move‑in reports.
- Organize meetings, including scheduling, sending reminders, and coordinating catering when needed.
- Coordinate mass marketing mailings.
- Prepare expense reports and process department invoices administratively.
- Manage mail distribution: pick up and prepare materials for mailing.
- Enter all new and potential prospects into the CRMS.
- Work closely with marketing partners and resident committees in digital marketing and other forms of communication.
- Maintain closing files and records (digital and hard copy) in an organized and efficient manner.
- Generate internal reports on occupancy, lead follow‑ups, or event attendance.
- Develop and execute digital marketing campaigns across web and social media (contractor‑supported).
- Create marketing content (graphics, ads, brochures, presentations, videos) using Adobe Creative Suite, Canva, PowerPoint, etc. (contractor‑supported).
- Manage and optimize website content in Word Press, ensuring UX and SEO performance (contractor‑supported).
- Plan, schedule, and publish social media content across Facebook, Instagram, Linked In, Twitter, and You Tube (contractor‑supported).
- Produce, edit, and publish video/multimedia content for campaigns, events, and storytelling (contractor‑supported).
- Support virtual events, webinars, and podcasts, including technical setup and execution via Zoom (contractor‑supported).
- Write newsletters and digital content to promote community updates, events, and initiatives (contractor‑supported).
- Minimum High School Diploma;
Associate’s or bachelor’s degree preferred. - Minimum of 4 years of Administrative Assistant experience, ideally in a fast‑paced dynamic professional environment.
- Prior work experience in a Senior or Assisted Living environment.
- Prior work experience in a residential sales and marketing department is a plus.
- Advanced MS Office Suite skills, including Word, Excel, and PowerPoint.
- Knowledge of social and digital platforms, specifically Linked In, Facebook, and Google.
- Familiarity with CRMS (Hub Spot & Salesforce).
- Familiarity with social and digital content ideation and development.
