Position Summary

The Operations Support Specialist for Science is responsible for providing clerical, administrative, and support services for the Life Sciences office. The Operations Support Specialist conducts all front-line and day-to-day processes for the Life Sciences office. The Operations Support Specialist may have some responsibility to assist in the supervision and training of temporary/work staff.

Responsibilities
  • Provide daily support for the staff and faculty of the Science Department. Support includes clerical, administrative, logistical, and technical. Maintain files, preserving confidentiality. Act as the main office staff member for the Life Sciences office in the Health & Life Sciences Building, often solely working the office front line.
  • Greet visitors to the office. Answer inquiries and provide information concerning college facilities, class locations, academic programs, campus activities, and field other requests for assistance as received.
  • Provide telephone and Science email inbox coverage by responding to requests for information, directing callers to appropriate college personnel and resources. Relay effective telephone and/or email messages in a timely manner.
  • Collect and file materials in support of the instructional programs, to include syllabi, assignments, examinations, and special event materials. Assist with door schedule process.
  • Serve as a resource for new faculty and staff by providing adjunct on-boarding support, orientation to Science's policies and protocols, and pertinent forms, supplies, handouts, etc. Provide ongoing communications to ensure smooth assimilation into the department and college.
  • Assist in monitoring enrollments by running and collating regular weekly enrollment reports which are shared with Department Chair. Assist with registrations, waitlist notifications, entering of student waivers, and notifying students of class cancellations or course information changes.
  • Assist with office equipment (copier, printer, furniture, etc). Process forms such as Facilities work orders, Technical Service Desk service requests, and print shop/copy services requests in support of office functions.
  • Sort and distribute mail to on-campus and off-campus faculty. Maintain faculty mailboxes and Life Sciences workroom.
  • Assist in maintenance of the instructional and office supply inventory.
  • Collaborate with Administrative Coordinator and Science Office Team to regularly review office processes and make recommendations for improving efficiency and impact. Provide daily support Administrative Coordinator and office team members.
  • Attend and support departmental needs at Science, School of Science, Technology, & Education, and college-wide events as requested. Other duties as assigned by the Administrative Coordinator or requested by the Instructional Coordinator.
  • Assist with maintaining the Science Tutoring Center space, supplies, and staffing.
  • Required Qualifications
    • High School Diploma/GED
    • Minimum Of Two Years Of Relevant Experience
    • Provide high-quality customer service, along with the ability to deal tactfully and effectively with students, faculty, staff, and the public.
    • Excellent oral, written, and interpersonal communication skills including composition, editing, grammar, punctuation, and proofreading skills.
    • Excellent organizational, conflict resolution and problem-solving skills. Excellent command of college operations and resources.
    • Intermediate knowledge of Microsoft applications to include Word, Excel, Teams, and Outlook.
