Job Description:

The Change and Communications Lead is a strategic position within the Department of Information Technology (DoIT) and is responsible for developing and managing the change management and communication plans that advance awareness, adoption, and sustained utilization of the University’s technology services. Reporting to the Chief Information Officer, the Change Management and Communications Lead translates functional, technical, and project-related information into clear, audience-specific messaging and directs technology services awareness campaigns, technology adoption planning, and product and service lifecycle planning assistance, including change management for Workday, People Soft, and other enterprise applications.

The incumbent is responsible for managing the communications plan through development, approval, and delivery; evaluating the effectiveness of communication and change efforts; and coordinating with communication liaisons and stakeholders across the University to ensure timely, consistent, and culturally aligned messaging in support of the institution’s technology goals and mission.

DUTIES & RESPONSIBILITIES
  • Change Management Planning:
    Develop, implement, and manage enterprise change management plans that support the adoption of technology services, including Workday, People Soft, and other enterprise applications. Assess organizational readiness, manage stakeholder impacts, mitigate resistance, and sustain adoption across the University community.
  • Communications Planning and Delivery:
    Manage the communications plan through development, approval, and delivery. Translate functional, technical, and project-related information into clear, audience-specific messaging, and monitor and evaluate its effectiveness to inform continuous refinement.
  • Technology Services Awareness Campaigns:
    Plan and direct awareness campaigns and user education initiatives that amplify DoIT messaging and enhance understanding of technology services throughout the University.
  • Technology Adoption Planning:
    Develop and execute technology adoption plans that promote the effective and sustained use of technology services, in alignment with project milestones, training, and support resources.
  • Product and Service Lifecycle Planning Assistance:
    Coordinate communications and change management activities across the product and service lifecycle, ensuring stakeholders remain informed and prepared at each stage.
  • Stakeholder Coordination:
    Collaborate with communication liaisons and units across the University to develop templates and content, ensuring that information is disseminated in a timely manner and remains culturally aligned to intended recipients.
  • Content and Digital Management:
    Oversee messaging frameworks, digital content, and content governance for major technology initiatives, in collaboration with University Relations and Marketing (URM).
  • Measurement and Continuous Improvement:
    Establish and monitor metrics to evaluate the effectiveness of change and communication efforts, report outcomes to the Chief Information Officer, and foster a culture of continuous improvement.
REQUIRED KNOWLEDGE, SKILLS & ABILITIES
  • Strong writing, storytelling, and strategic communication skills, with the demonstrated ability to produce clear, audience-specific content for complex initiatives.
  • Demonstrated skill in translating technical or process-intensive information into accessible communications for broad stakeholder groups.
  • Experience in communication planning, messaging frameworks, and digital content management for technology or transformation initiatives.
  • Proficiency in editing and proofreading, with effective oral and written communication skills.
  • Ability to prioritize assignments, manage multiple responsibilities concurrently, and maintain a strong commitment to customer service.
