Key Responsibilities
- Administrative Support: Office assistants perform a variety of routine administrative tasks, including managing correspondence, filing and organizing documents, completing data entry, and maintaining accurate office records. They may also support staff or leadership by preparing reports, presentations, and other business documents.
- Reception and Customer Service: They serve as a primary point of contact by greeting visitors, answering and directing phone calls, responding to emails, and providing general customer assistance. In some environments, they may function as receptionists, overseeing visitor check‑ins and ensuring guests or patients are directed to the appropriate areas.
- Scheduling and Coordination: Office assistants help coordinate meetings, appointments, and events by managing calendars, reserving rooms, arranging catering, and assisting with project‑related documentation and deadlines.
- Office Organization: They are responsible for maintaining an orderly and well‑supplied workspace. This includes monitoring inventory, ordering office supplies, organizing files and records, and ensuring office equipment is functional.
- Specialized Tasks: Office assistants may be responsible for specialized duties such as managing patient records in healthcare settings, or supporting basic bookkeeping tasks using software like Wellsky.
- Support to Staff and Management: They provide direct support to employees and leadership by coordinating travel arrangements, taking meeting minutes, and completing a variety of ad hoc tasks to support efficient daily operations.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with standard office equipment. (REQUIRED)
- Strong organizational, multitasking, and communication abilities.
- Exceptional attention to detail and the ability to manage priorities effectively.
- Professional demeanor with the ability to interact courteously with staff, clients, and visitors.
- High school diploma or equivalent; previous office or administrative experience is typically preferred.
