Job DescriptionWestern Kentucky University, Continuing and Professional Development, is seeking a Coordinator in Continuing and Professional Development (CPD). This position is responsible for administrative assistance to the unit and reports to the Director, Continuing and Professional Development.
Primary Duties and ResponsibilitiesThe following duties are customary for this position, but are not to be construed as all‑inclusive. Duties may be added, deleted, and assigned based on management discretion and institutional needs.
- Perform general office duties including answering phones, document creation and revision, data entry, database management, and filing
- Oversee the preparation of invoicing, transmittals, handling of checks and processing credit cards for CPD
- Ensure CPD office is credit‑card compliant by training employees and completing necessary paperwork to utilize credit cards to university standards
- Maintain credit record‑keeping duties from compliance to submitting monthly reconciliation reports
- Coordinate Banner and internal registration/event booking systems trainings for all CPD employees
- Oversee and maintain employment documentation completion for all CPD employees including instructors, trainers, and student employees
- Supervise room reservations and catering for training, professional development, and personal enrichment programs
- Oversee the hiring process for all new CPD employees by creating requisitions, initiating EPAFs, and keeping all employee records
- Coordinate vehicle program for the CPD, ensuring drivers are approved by WKU to utilize vehicles and fuel cards, maintaining maintenance records, and vehicle logs for travel
- Assist Program Managers with development of memorandums of agreement for partnerships
- Assist with student registration to courses administered through CPD, including collection of fees in the form of cash, credit cards, and vouchers from third parties
- Compose and respond to course/program correspondence
- Coordinate record management, retention, and destruction for CPD
- Assist with special projects
- Other duties as deemed necessary by the Director
- Strong administrative and office management skills
- Excellent oral, written, and interpersonal communication skills
- Strong organizational skills with evidence of multiple task management
- Ability to learn WKU enterprise systems such as Banner, Top Net, and WKU Portal
- Ability to learn computer programs and database management software
- Working proficiency with Microsoft Office Suite…
