Ever Young's national network and held to the full brand standard. We are building a team for the long term and are looking for a Front Desk Associate who wants to grow with the center from day one. The Front Desk Associate /
Patient Care Coordinator (PCC) is the operational and experiential anchor of the front of house. You will manage patient flow, own the phone and scheduling queue, support providers with check-ins and check-outs, and educate patients on services, membership programs, and promotions in a way that feels natural and consultative - never pushy. You will work closely with the clinical team to drive rebooking and retention goals.
You'll Do
- Own the patient experience: warm check-in and check-out, accurate records, clean and welcoming front-of-house environment.
- Manage scheduling and communications: answer phones, book and confirm appointments, manage waitlists, and respond to patient messages.
- Sales - Educate and convert: introduce patients to services, promotions, and VIP/membership programs in a consultative, education-first way.
- Drive rebooking and retention: ensure every patient leaves with a clear next step; follow up on lapsed patients as needed.
- Handle payments and admin: process transactions, maintain patient records in the EMR system, and ensure HIPAA compliance.
- Support the team: assist with center events, supply tracking, and any operational tasks that keep the center running at standard.
- Customer-facing experience in medical/dental front office, med spa/aesthetics, hospitality concierge, or membership sales and administration.
- Natural consultative instincts: you can guide patients to the right next step without it feeling like a sales conversation.
- Strong multitasking and attention to detail - you stay organized and accurate when phones, arrivals, and team needs are all happening at once.
- Clear, professional communication in person, on the phone, and in writing.
- Familiarity with scheduling software (Zenoti) or EMR systems preferred; willingness to learn required.
- Part-time availability, about 20 hours per week, including every Saturday. Saturdays are a firm requirement; additional shifts are scheduled across the week.
- Flexible and team-first: excited to help open a brand-new center and open to flexing your additional weekday shifts as the schedule settles.
- $18-$22/hr base commensurate with experience, plus performance incentives.
- As this is a new center opening, benefits are still being developed and will be discussed as part of the offer process.
- Consistent part-time schedule, about 20 hours per week including Saturdays. No on-call.
