The Development Operations Coordinator serves as the operational anchor of the Development Office, ensuring that every gift is processed accurately, every donor is thanked promptly, and every event and mailing runs on schedule. This position combines traditional development operations - gift processing, acknowledgments, database management, event logistics - with modern productivity workflows that support drafting, research, and communications. The Coordinator interacts daily with benefactors, students, faculty, visitors, and seminary leadership, and is a key ambassador of the Seminary's mission to form men for the Catholic priesthood.
The Coordinator assists in moving constituents through the complete development cycle from initial discovery to long-term stewardship.
General Coordination:
- Coordinate the day-to-day administrative operations of the Development Office, including correspondence, filing, scheduling support, mail handling, and meeting preparation.
- Maintain and uphold the structure of the Development Office's team task management system (e.g., Trello board for SVDP Development Daily Task Management), ensuring cards, deadlines, ownership, and statuses remain current and visible to the team.
- Secure and keep confidential all benefactor information, financial records, and Development data in accordance with Seminary policy.
- Serve as a warm, professional, and hospitable point of contact for benefactors, alumni, clergy, faculty, students, and visitors — in person, by phone, and by email.
- Compile and process data across the Office's standard systems (including Bloomerang and Microsoft 365) and assist in producing reports for the Director, Rector, Board of Trustees, Finance, and the Office of Institutional Research and Effectiveness (OIRE).
- Maintain meeting records, agendas, action items, and minutes for Development Office meetings and standing collaborations.
- Prepare distribution and mailing of reports, appeals, and Development correspondence on a coordinated production calendar.
- Research and respond to Development queries from internal and external constituents, escalating to the Director as appropriate.
- Leverage AI-assisted productivity tools to accelerate drafting, research, and communications — while applying consistent fact-checking, brand voice standards, and data privacy protocols.
- Serve as operational lead on shared Development projects, coordinating timelines, deliverables, and handoffs across roles.
- Manage the gift processing workflow: receive, record, and post all donations in Bloomerang with accuracy and timeliness; reconcile against Finance records on an established cadence.
- Support planned giving and legacy gift operations as an extension of the gift processing workflow: record and acknowledge bequests, IRA qualified charitable distributions, and other planned gifts; properly code planned-giving constituents in Bloomerang; coordinate with vendors and partners (e.g., My Catholic Will ) on documentation, donor lists, and follow-up; and prepare planned-giving reports for the Director.
- Generate and personalize donor acknowledgment letters and receipts; ensure all gifts are acknowledged within the Office's stewardship service standards.
- Maintain the integrity of the donor database: routinely update, deduplicate, and correct records; manage constituent codes, mailing list segmentation, and giving histories.
- Produce fundraising and database reports — annual fund progress, campaign tracking, mailing performance, donor retention, and board‑ready summaries.
- Conduct preliminary research on prospective individual, corporate, and foundation donors using public databases, FADICA resources, and other research tools available to the Office; prepare research briefs for the Director.
- Assist in the organization and maintenance of the Office's digital assets, including event photography, brand logos, and media archives.
- Liaise with external vendors (printers, mail houses, caterers) to obtain quotes, submit creative assets, and ensure timely delivery of services.
