Operations Coordinator

The Center for Large Landscape Conservation (CLLC) is a nonprofit organization based in Bozeman, Montana. Position Overview

The Operations Coordinator is a dependable, friendly and responsible individual offering administrative support to the CEO, Operations team, and Development team, ensuring smooth day-to-day business processes and accurate record keeping. This person will work approximately 40 hours per week with scheduling flexibly during normal business hours (M-F, 8am-6pm). This position provides the opportunity for an individual to gain experience in nonprofit administration, business management, and development.

The Operations Coordinator works in a vibrant and eclectic office, supporting a wide range of tasks and acts as a resource for CLLC's employees and systems. This position requires excellent organization and communication skills, attention to detail, the ability to multi-task and willingness to jump in to help wherever needed.

Key Responsibilities
  • Provide administrative and operational support to the CEO, Operations team, Development/Communications team, and Board.
  • Coordinate office communications, scheduling, calendar (CEO), meetings, travel logistics, and day-to-day administrative workflows.
  • Support meetings, retreats, donor events, Board gatherings, staff events, and public-facing programs, including logistics, materials preparation, vendor coordination, and day-of support.
  • Maintain office supplies, records, shared files, equipment readiness, and organize physical and electronic resources.
  • Assist with financial administration, including credit card documentation, receipts, expense reimbursements, and related recordkeeping.
  • Support recruitment, onboarding, offboarding, and staff systems administration in coordination with the Operations team.
  • Provide basic technology, software, equipment, and process support, including troubleshooting and coordination with outside resources as needed.
  • Assist with fundraising, communications, and Board support through materials preparation, mailings, data coordination, and logistical assistance.
Required Qualifications:
  • Bachelor's degree preferred or 2+ years of relevant experience in administrative support, office operations, event support or a related role
  • Demonstrated competence maintaining confidential records with a high degree of discretion, accuracy, and close attention to detail.
  • Strong organizational skills; ability to manage multiple priorities and meet deadlines
  • Clear, professional written and verbal communication skills; ability to interact courteously with donors, vendors, Board members, and staff
  • Proficiency with Microsoft Office (Word, Excel, and PowerPoint), Google Workspace (email and calendars), Zoom or similar web meeting platform
Preferred Qualifications
  • Quick Books (or similar) experience.
  • Event planning or logistic support provision.
  • Comfort with basic event/office technology (simple A/V troubleshooting); general IT support experience

  • Establish and maintain effective working relationships with co-workers and the conservation community, respectfully and across cultures. Including the flexibility to work with people across all U.S. time zones
  • Be able to work independently and effectively with minimal supervision as a team member.
  • Demonstrate competence organizing and prioritizing multiple work assignments, meeting deadlines, and exercising adaptability to changing priorities while maintaining a positive and professional attitude.
