Position Overview
The Student Services Coordinator will support participants to facilitate student success and retention. Acting as an ombudsman, the Coordinator will advise and assist students who are geographically separated, helping them navigate the university system from application through graduation and placement. The Coordinator will assist the Project Director in establishing and maintaining efficient office routines that ensure effective grant administration through coordination with on‑campus administrative offices.
They will develop and maintain a student management system to manage participant information and payback agreements, and they will maintain communication with participants and respond to requests.
- Prepare forms and maintain a student file for each student containing relevant information and paperwork.
- Coordinate student support among campus agencies and act as student ombudsman.
- Develop course plans for each student per semester and aid in securing necessary resources.
- Assist the Project Director in budget management.
- Establish and maintain effective office routines and project databases.
- Maintain open communication with stakeholders using a variety of methods.
- Coordinate seminar needs, travel arrangements, and office resources as necessary.
- Assist in the preparation of quarterly reports.
- Coordinate project activities with the Native American Leadership Center at Little Big Horn College, the Office of Sponsored Programs, and other on‑campus Native American‑serving programs, and assist in writing grants to continue the mission of the program.
- Bachelor’s degree in education or a related field.
- Demonstrated work experience in university student support services or grant management.
- Demonstrated experience successfully managing large budgets.
- Demonstrated evidence of strong administration and management skills.
- Demonstrated evidence of a student‑centered or customer‑service disposition.
- Experience working with Native American or Alaskan Native people.
- Professional level work experience in K‑12 education.
- Demonstrated evidence of strong collaboration and communication skills.
- Demonstrated evidence of innovative thinking.
- Experience working within the Montana University System or other land‑grant university systems.
- Familiarity with data management systems such as Banner for financial and student management.
- Develop and maintain effective and efficient administrative procedures and data integrity.
- Build excellent working relationships with stakeholders and partners.
- Determine, resolve, and act to prevent issues that create barriers to student success.
- Be a prudent fiscal manager.
- Provide guidance and advice to program faculty on achieving program goals.
- Be a proven successful supervisor and effective trainer of employees.
- Create publicity materials and deliver program presentations in a variety of venues.
Special Requirements and Additional Information
Work will largely be performed in an office located in Bozeman, MT, but the incumbent may travel to state, regional, and national conferences and to various Indian reservations across MT, ND, SD, and WY. Less than 15% of job responsibilities will require overnight travel.
