Position Details General StatementHealth Professions Resource Center (HPRC) is a pre-professional advising office that supports MSU students and alumni of any college of degree program. The office provides critical professional support within the areas of exploration, preparation, and application to health and allied health programs. The HPRC office focuses on individualized support plans for each student that guide their academic and professional journey during and after their time at Montana State University.
HPRC is also home to the post-bacc pre-medical certificate program for students who are career changers and require a substantial amount of coursework to fulfill pre-requisites for their graduate school applications.
Duties and ResponsibilitiesThe Student Success Coordinator is required to provide a high level of administrative support, customer service, and technical support to Health Professions Advising. The Student Success Coordinator will enhance the quality and effectiveness of undergraduate, post-bacc, and graduate student pre-professional support, services and experiences with high level advising and technical support to students, faculty, and staff. Responds and works with campus departments to resolve academic issues.
Maintains student electronic files, keeping up-to-date with university procedures, interpreting university academic policy and providing academic advice to faculty and students. Other related office duties may be assigned.
The duties and responsibilities of the Academic Services Coordinator include the following:
Health Professions Program Coordinator- Serves as the primary point of contact with the MSU student service units including the Office of the Registrar, Office of Admissions, Student Employment Services, and Student Support Services.
- Provide information and support to students considering a health profession as a future career.
- Helps make students aware of campus-wide advising and other academic support services.
- Helps students understand and follow academic policies, rules, and requirements.
- Inform students of academic and student support services.
- Process undergraduate student forms, including Add/Drop and Change of Curriculum.
- Serve as office liaison with the HRPC team and Advising Commons.
- Maintain office advising information and resources SharePoint.
- Assist with office events, including Welcome Back Social, end of semester, and graduation events.
- Assess coursework for incoming post-bacc students.
- Conduct graduation audits, review graduation applications and certify students for graduation based on guidelines provided by the steering committee for post-bacc pre-med certification program.
- Provide academic advising to post-bacc students (non-degree) and post-bacc pre-med certificate (degree) students.
- Coordinate communication of information related to important dates, deadlines and procedures to advisees and staff within the academic unit(s) served.
- Serves as front-line customer service; assists Director of HRPC, in day-to-day operations of the office.
- Maintains schedules for conference rooms.
- Researches and prepares data on academic issues such as course offerings, enrollment, and course loads to provide supporting documentation for critical pre-req courses for students.
- Refer student issues or faculty questions to HRPC Director.
- Manages FERPA form completion and letters of recommendation for students. Manages record of the file submission in Karat email and updates internal databases.
- Assist with the management of student data- entering students into banner for NAV and Degree works indicators, student meetings record, admissions data, etc.
- Manages catalog revisions and course offerings in campus systems.
- Creates departmental marketing and promotional materials in partnership with University Communications.
- Manages and maintains web pages in accordance with university guidelines.
