JOB PURPOSEThe Marketing Operations and Project Manager keeps marketing projects and initiatives running smoothly across the organization. This role helps manage workflows, coordinate across teams, and identify bottlenecks so campaigns and programs stay on track. It tracks progress, monitors timelines, and provides updates and insights to leadership, enabling the marketing team to focus on high-quality work that advances the organization’s conservation mission.
This role is ideal for someone who enjoys organizing processes, solving operational challenges, and helping teams work efficiently together.
- Organize marketing communication projects to help ensure deliverables are on time, within scope, and on budget.
- Act as a central point of contact for marketing projects, helping anticipate needs, monitor timelines, and keep initiatives on track.
- Follow up with team members to address obstacles and provide support so campaigns run smoothly.
- Coordinate with freelancers, agency partners, and internal teams to keep meetings productive and projects moving forward.
- Maintain and optimize project management tools (currently Wrike), ensuring tasks, timelines, and responsibilities are clear.
- Help develop and maintain an accessible marketing calendar that reflects all initiatives.
- Suggest improvements to existing processes and systems based on experience to streamline workflows.
- Assist in organizing meetings and developing step-by-step plans for project execution.
- Help teams across departments stay aligned and ensure marketing workflows run efficiently.
- Monitor deadlines and deliverables to prevent last-minute rushes and keep projects on track.
- Support internal and external stakeholders by providing clarity and ensuring everyone has what they need to complete their work.
- Track project spend against budgeted amounts and report any variations.
- Ensure resources are allocated appropriately within pre-set financial parameters.
- Plan, manage, and support marketing presence at local events as identified by leadership, including tabling logistics, materials preparation, and on-site coordination to ensure strong brand representation.
- Provide leadership with progress updates, insights, and suggestions as needed to support department operations.
- Highlight potential risks or workflow challenges proactively.
- 2-5+ years of experience in marketing operations, project coordination, or related roles.
- Strong organizational and workflow management skills.
- Experience using project management tools.
- Analytical mindset with the ability to track metrics, identify inefficiencies, and recommend improvements.
- Proven ability to coordinate cross-functionally and facilitate alignment across multiple teams or divisions.
- Excellent communication skills, including the ability to elevate and present insights to leadership.
- Self-starter who can work independently while managing multiple projects simultaneously.
- Experience in digital marketing processes, campaign execution, and marketing analytics.
- Experience serving as project owner for website initiatives including website redesign.
- Familiarity with database membership systems such as Sales Force.
- Experience with Wrike.
