We’re looking for a Receptionist/Dispatcher who can represent our brand with positivity, energy, and a sales-driven mindset.
Position SummaryThe Receptionist/Dispatcher is a key team member responsible for ensuring smooth communication between customers and our operations staff. This role involves answering inbound calls, coordinating job scheduling, and providing top-tier customer service. This is the first point of contact for our customers. A friendly, professional, and proactive attitude is essential.
Key Responsibilities- Answer incoming calls and respond to customer inquiries in a friendly, professional, and sales-minded manner
- Promptly enter job leads (First Notice of Loss – FNOL) into the system with accuracy
- Dispatch and track jobs to ensure quick response and efficient scheduling
- Review scheduling boards to monitor workflow and identify areas for improvement
- Work closely with the production team to manage the daily and on-call schedules
- Greet office visitors and assist with general administrative tasks
- Provide regular updates and follow-ups to ensure customer satisfaction
- Perform other administrative and customer service duties as needed
- An outgoing, confident communicator with excellent phone presence
- A natural “people person” with a sales personality who enjoys talking and building relationships
- Organized, detail-oriented, and able to multitask in a fast-paced environment
- Team player with a “can-do” attitude who’s comfortable taking initiative
- High School diploma or GED (required)
- Previous receptionist, dispatcher, or administrative experience (strongly preferred)
- Strong customer service and communication skills (written and verbal)
- Comfortable using digital tools and learning new software
- Experience in restoration, construction, or insurance industry is a plus
- Office-based role, primarily sedentary with occasional filing or lifting
- Monday–Friday schedule with occasional on-call support needs
