Administrative Coordinator
Job OverviewThe Administrative Coordinator provides administrative, operational, and regulatory support to the Director of Engineering, Safety, and Security for the Plant Operations Department. The role supports departmental compliance with applicable regulatory and accrediting agencies, including The Joint Commission (TJC), the State of Florida Agency for Health Care Administration (AHCA), and other federal, state, and local requirements related to Environmental of Care (EOC) and Life Safety.
The Coordinator demonstrates Service Excellence standards and assists with maintaining regulatory readiness.
- Assist with the organization, documentation, scheduling, reporting, and follow‑up activities necessary to maintain regulatory readiness.
- Coordinate inspection schedules.
- Maintain compliance records and binders.
- Prepare audit and committee materials.
- Support contractor and vendor coordination.
- Process requisitions and invoices.
- Assist with work order tracking and departmental communication.
- Support EOC and Life Safety activities, including inspections, permit tracking, and documentation management.
- Interact professionally with hospital leadership, staff, contractors, regulatory surveyors, and community partners.
- Other duties assigned as required.
- High School Diploma required;
Bachelor’s degree preferred. - Four years of experience in a hospital or institutional setting preferred.
- Experience in EOC, Life Safety, Engineering, or Maintenance highly preferred.
- Basic computer skills.
- Knowledge of regulatory agencies such as JCAHO, AHCA, and local/state governing bodies.
- Capability to compose policies, correspondence, and reports required for the scope of responsibility.
- Ability to work with numbers and vendor invoicing.
- Strong communication skills with internal and external contacts.
