Position: Administrative Assistant (PT)

Administrative Assistant (PT), St. Mary of the Nativity, Scituate, MA

The part-time Administrative Assistant must be a joy-filled, motivated disciple of Jesus Christ, ready and willing to work and collaborate with other motivated disciples in serving the Church. The chosen candidate must actively practice the Catholic Faith, support the mission and teachings of the Catholic Church, enjoy working with people of all ages and be ready to be a friendly and positive evangelizer to all.

This position requires consistent communication and collaboration with the Pastor, Communications Coordinator, and other office personnel. This position is in the parish office in Scituate.

ESSENTIAL DUTIES & RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
  • Greet visitors, answer phone, direct inquiries to appropriate person
  • Respond to inquiries that come to general email inbox
  • Retrieve and distribute mail
  • Enter donation data in Parish Soft (Offertory, Grand Annual, etc.)
  • Register new parishioners in Parish Soft and send welcome cards
  • Assist with booking facility space for meetings
  • Update online calendar with funerals, baptisms, etc
  • Notify families of Month’s Mind Masses
  • Provide sacramental records, as requested
  • Prepare offertory collection bags
  • Provide Mass cards, as requested
  • Record Mass and Flower dedications
  • Assist Business Manager with cemetery inquiries
  • Assist families with scheduling Baptisms and Baptismal Catechesis
  • Assist families and funeral homes with scheduling funerals, assign altar servers, connect with Music Ministry and Outreach Team
  • Support parish ministries and social activities as needed
QUALIFICATIONS:
  • Understand and support the mission and teachings of the Catholic Church
  • Possess excellent interpersonal skills - friendliness, courtesy and patience
  • Demonstrate efficiency in meeting people’s needs in-person, over the phone, and via email
  • Provide expertise in Microsoft Word and Excel, Publisher, and general data entry
  • Organized, able to multitask and perform effectively an active environment
  • Attentive to detail and accuracy
  • Display flexibility in work hours

NOTES:

This position is hourly, offering approximately 20 hours weekly, and benefits eligible. Total hours and compensation will be determined upon hire.
