Are you an organized, customer-service focused professional who enjoys helping patients feel supported and cared for from the very first phone call? Brigham and Women’s Harbor Medical Associates is seeking a full‑time Clinic/Practice Assistant to join our Gastroenterology team in Braintree. In this role, you’ll be part of an in‑office call center team that plays a key role in keeping daily practice operations running smoothly while helping patients navigate scheduling, questions, and next steps with confidence.

This is a full‑time, 40‑hour, on‑site position located at Brigham and Women’s Harbor Medical Associates, 1681 Washington Street, Braintree, MA 02184. The anticipated schedule is Monday through Friday, either 8:15 a.m.–4:45 p.m. or 8:30 a.m.–5:00 p.m.

This position is part of our in‑office call center team, working alongside three other team members, with cross‑training opportunities to support front desk operations as well.
What You’ll Do- Answer incoming calls, assist patients with routine inquiries, take accurate messages, and help schedule appointments.
- Support appointment scheduling, check‑in, check‑out, and other administrative workflows related to patient visits.
- Maintain appointment records, print schedules, file materials, scan documents, and support accurate patient documentation.
- Process patient billing forms and accept co‑payments when required by department workflow.
- Request patient medical records, laboratory results, and other information needed by the care team.
- Assist with messages related to prior authorizations, provider questions, prescription refills, and test results.
- Open and distribute unit mail or faxes and prepare forms, records, schedules, memos, and other documents as directed.
- Serve as a resource for scheduling, registration, and billing systems, including providing assistance or training to others as needed.
- Support more complex or specialized functions, such as surgical scheduling, schedule changes, or template blocking, based on department needs and competency level.
- High school diploma or equivalent required.
- Two to three years of office experience required.
- Certified Medical Administrative Assistant (CMAA) preferred.
- Strong customer service skills and a professional, helpful communication style.
- Ability to manage phone calls, scheduling needs, patient messages, and competing priorities in a busy outpatient practice setting.
- Strong organization, attention to detail, and comfort working with scheduling, registration, billing, and medical record systems.
- A collaborative approach and willingness to cross‑train with front desk operations to support the needs of the team.
