Summary
The Administrative Assistant provides complete administrative, scheduling, logistical, and operational support to help teams work with clarity, consistency, and a healthy pace. This role supports daily ministry operations by managing calendars, coordinating meetings, tracking key details, maintaining awareness of active projects, and proactively preparing for upcoming events and initiatives.

- Provide complete administrative support by managing Outlook calendars for internal and external meetings, fielding phone calls, and responding to meeting requests in a way that promotes a healthy pace.
- Prioritize and schedule meetings according to seasonal priorities, ministry rhythms, and leadership needs.
- Track department/ministry budget information, including expense reports, purchase orders, and check requests and provide updates as needed.
- Manage scheduling for all Connections servant leaders, including sending weekly schedule requests and coordinating team assignments.
- Send weekly communication to servant leaders with important information and updates related to Sunday responsibilities and ministry needs.
- Maintain and update servant leader records within Rock, including adding new servant leaders, documenting serving preferences, and assigning individuals to the appropriate group within Rock.
- Respond to membership transfer letter requests and update membership status information in Rock.
- Perform other duties as assigned.
- Set up the Team Room each week, including snacks, water, lanyards, parking cart, walkie talkies, and check‑in materials.
- Maintain and manage coffee areas, including ordering monthly coffee supplies and replenishing Sunday supplies as needed.
- Reset and prepare the auditorium weekly by restocking pens, Bibles, and seat‑back materials.
- Refill tithing envelopes and L3 guides throughout the campus as needed.
- Order and maintain inventory for ministry resources and materials, including Bibles, tithing envelopes, seat‑back pamphlets, and other ministry supplies.
