This role provides comprehensive bookkeeping support for a small nonprofit office, with a strong focus on accounts payable, accounts receivable, and payroll. The bookkeeper processes a high volume of invoices, manages biweekly payroll for a large employee base using Paylocity, and maintains accurate financial records in Quick Books and Excel while supporting staff in the field.

Responsibilities
  • Process approximately 50 accounts payable invoices each week with accuracy and timeliness.
  • Manage accounts payable activities, including invoice entry, coding, verification, and payment processing.
  • Handle accounts receivable functions, including contacting vendors and processing incoming invoices and payments.
  • Administer biweekly payroll for approximately 153 employees using Paylocity, ensuring accuracy and compliance with internal procedures.
  • Maintain and update financial records in Quick Books, including journal entries, account reconciliations, and transaction postings.
  • Use basic Excel skills to organize, track, and report financial data and support regular financial reporting needs.
  • Respond to phone calls and inquiries from staff in the field, providing prompt and professional support on financial and payroll matters.
  • Collaborate with internal stakeholders to resolve invoice discrepancies and ensure timely payment and collection.
  • Maintain organized digital and physical records for accounts payable, accounts receivable, and payroll documentation.
  • Support general accounting activities as needed to ensure accurate and up-to-date financial information.
Essential Skills
  • Proven experience in bookkeeping with hands‑on responsibility for accounts payable, accounts receivable, and payroll.
  • Demonstrated ability to process a high volume of invoices, including approximately 50 accounts payable invoices per week.
  • Practical experience managing payroll, preferably for a large employee base, using Paylocity or similar payroll systems.
  • Proficiency with Quick Books for day‑to‑day accounting tasks and financial recordkeeping.
  • Basic proficiency in Microsoft Excel for organizing, tracking, and reporting financial information.
  • Strong attention to detail and accuracy in all financial entries and reconciliations.
  • Ability to handle phone calls and support staff in the field with professionalism and clear communication.
  • Organizational skills to manage multiple tasks and deadlines in a busy accounting environment.
