Cellsbin® is seeking an exceptional Office Manager & Executive Assistant to work directly with the CEO and help keep the company and executive office organized, responsive, and operating efficiently. This role requires a team player who is motivated to help their colleagues and enjoys working collaboratively on a variety of projects. The successful candidate will be a problem solver with excellent communication and interpersonal skills, who can adapt to changing circumstances.
The ideal candidate is someone the CEO can trust to take ownership, anticipate needs, bring structure to a fast-moving environment, and consistently get things done.
- Manage the CEO’s calendar, meetings, priorities, correspondence, and follow-ups
. - Coordinate internal and external meetings, visitors, travel, and company events.
- Manage day-to-day office operations, vendors, supplies, records, and administrative needs
. - Track important action items and ensure commitments, deadlines, and follow-ups are completed.
- Prepare and organize documents, presentations, meeting materials, and executive communications.
- Handle sensitive company and executive information with exceptional discretion and confidentiality
. - Proactively identify administrative needs and resolve issues before they become distractions.
- Prior experience as an Executive Assistant, Office Manager, or similar high-responsibility administrative role
. - Exceptional organization, attention to detail, and follow-through.
- Excellent written and verbal communication skills.
- Strong judgment, professionalism, discretion, and ability to prioritize in a fast-moving environment.
- Highly proactive, resourceful, dependable, and comfortable working independently
. - Strong proficiency with modern productivity and collaboration tools.
