Role Description

This part-time with future full-time opportunity, on-site Customer Service Representative role is based in Brea, CA. The Customer Service Representative will welcome clients, check in and check out patients, manage appointment scheduling, and answer phone calls and emails in a professional, empathetic manner. Responsibilities include explaining basic services and procedures, updating client and patient records, handling payments, and coordinating with veterinary and technical staff to ensure smooth clinic operations.

The role also involves resolving client concerns, providing follow-up information, and maintaining a clean, organized reception area. This position requires consistent in-person collaboration with the care team and a strong commitment to client and patient experience.

Qualifications
  • Strong customer service and customer support skills, with a focus on clear communication and empathy.
  • Ability to contribute to customer satisfaction and customer experience through problem-solving and positive interactions.
  • Prior experience in a customer-facing role; veterinary, medical, or healthcare setting experience is a plus.
  • Comfort with scheduling systems, basic computer literacy, and accurate data entry.
  • Ability to remain calm in a fast-paced environment and handle sensitive situations confidentially and respectfully.
  • High school diploma or equivalent; additional training in customer service or office administration is beneficial.
  • Reliable attendance, teamwork skills, and willingness to learn clinic processes and terminology.
