This is a part-time classified position. All classified positions will start their salary at Step
A. When you have completed six months of probation, you will receive a 5 percent pay increase. A collective bargaining agreement exists, and this position is covered by the Washington Public Employees Association (WPEA) Union.
Olympic College seeks a motivated, detail-oriented Part-time Program Specialist 2 to support the Workforce & Economic Development (WFED) Department. This position coordinates end-to-end workflows across operations, scheduling, course updates, logistics, communications, and marketing assets for the Continuing Education (CE) program. The position will collaborate with campus and community partners using multiple platforms. This position supports the mission of Olympic College by contributing to the development of quality continuing education courses that enrich students’ lives and support their educational goals.
EssentialFunctions
- Program Support
- Maintain online curriculum management database for the CE course catalog, including course data entry and publishing in Campus
CE and ctcLink. Troubleshoot issues as needed. - Review public catalog, identify potential edits needed, recommend changes to the Director, and make changes approved by the Director.
- Assist the Director in establishing and updating class logistics. This includes room scheduling, instructor communications, and supply preparation.
- Coordinate and deliver change communications for CE course modifications — draft notices, update catalog/website, and notify impacted students, instructors, and campus partners within established timelines.
- Provide direct customer support to students, instructors, and community members: respond to questions (in person, phone, and email), deliver program information (courses, schedules, registration, policies), process basic requests, and escalate issues to the appropriate staff member per established procedures.
- Attend Continuing Education staff meetings and relay key updates between program staff and communications or media teams.
- Assist the Director in candidate interviews for CE instructors.
- Support data entry and student registration processes following the operational procedure provided by the Director.
- Review, update, and distribute CE marketing materials, including flyers, brochures, digital ads, and web event listings.
- Serve as the main point of contact for WFED staff regarding marketing asset status.
- Maintain organized media libraries and update asset files as needed.
- Apply Olympic College branding and messaging guidelines and coordinate with the Communications Department for alignment, reviews, and approvals as needed.
- Support Director in proofreading and production for the CE quarterly brochure & Constant Contact messages; assist Director with layout adjustments and tracking version edits.
- Monitor timelines for promotions and ensure deliverables meet deadlines and workflow requirements.
- Collaborate with internal departments to streamline communications related to marketing content updates and approvals.
- Prepare and maintain various forms and reports related to program metrics & performance, promotional effectiveness, and other reporting.
- Track marketing asset approvals, version histories, and delivery timelines. Maintain a centralized system for marketing asset approvals and version histories; monitor delivery timelines to meet release dates.
- Prepare and distribute outreach materials.
- Provide general office support and other program duties as assigned.
Minimum Qualifications
- At least two years of experience in project coordination, marketing support, education, communications, event planning, or a related administrative field.
- Proficiency in Microsoft Office Suite, including Excel, Teams, and SharePoint.
- Strong attention to detail and organizational skills.
- Availability for an in-person work schedule.
