Kitsap Mental Health Services (KMHS) is seeking a Care Team Assistant to support daily operations for our Crisis Triage Unit. In this role, you will manage communication between clients, staff, and families. You will help keep processes organized and make sure information moves efficiently across teams. PrimaryResponsibilities
- Answer and triage incoming calls, including coordinating communication between clients, staff, and community partners.
- Respond to routine questions and direct more complex issues to appropriate staff.
- Support callers in urgent situations and assist with initial de‑escalation until clinical staff are available.
- Identify when calls require escalation and determine appropriate response timelines.
- Document relevant client information and report unusual or concerning behaviors according to policy.
- Ensure referral paperwork is complete prior to clinical review; follow up on missing information as needed.
- Coordinate admission scheduling and post‑discharge follow‑up with internal and external partners.
- Ensure paperwork is routed to the Records Department accurately and on time.
- Maintain office supplies, track inventory, and coordinate equipment maintenance or repairs.
- Handle limited client information in compliance with HIPAA and agency privacy standards.
- Support accurate billing and data tracking by coordinating with accounting and program staff.
- Provide clerical support including filing, copying, correspondence, spreadsheets, and document management.
- Assist with scheduling and coordinating client appointments, including transportation arrangements.
- Enter and manage data in EMR systems, including creating client records and updating episodes in Credible.
- Set daily census and complete episode closures.
- Prepare and distribute admission and discharge packets and related documentation.
- Coordinate transportation, including ambulance or secure transport, as needed.
- Manage team schedules and maintain clinician calendars in the EMR system.
- Prepare reports and track key data points for staff and supervisors.
EDUCATION:
High School Diploma or GED
EXPERIENCE:
Entry level (no prior related work experience)
- Experience (minimum 2 years of job‑related experience)
- Course work in medical/psychiatric terminology.
- Experience using an Electronic Medical Record (EMR).
- Maintain basic knowledge of medical records, IS and agency policies and forms to answer staff questions and facilitate problem‑solving.
- Skill in establishing and maintaining effective working relationships with other employees, clients, organizations, and the public.
- Strong communication skills are required.
- Strong organizational skills are required to prioritize a variety of work assignments.
- Communication – Communicates clearly and concisely.
- Computer skills - Proficient in Word, Excel, and PowerPoint, and other Microsoft Office environments.
- Demonstrated ability to work in stressful situations (i.e., clients in crisis, numerous telephone calls).
- Demonstrated ability to work independently and as a team member.
- The ability to operate a personal computer, fax machine, printer and copier proficiently.
Equipment Operated:
Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.
Work Environment:
Office, residential treatment facility. Frequent mobility and/or sitting required for extended periods.

Physical Requirements:
While performing the job duties, the employee must walk, sit, use hands and fingers, reach with arms, talk, or listen. Peripheral vision is also required for this position.
