Role SummaryThe Vending Operations Clerk will support the Naval Base Kitsap Navy Exchange in Bremerton by performing clerical and administrative tasks, maintaining statistical and financial data, managing vending machine operations, and ensuring compliance with vendor and system requirements.
Responsibilities- Ensure contracted vendors submit reconciliation forms monthly and input data into the VMS system, running reports to balance contractor information.
- Review vendor invoices to confirm product costs match VMS system records.
- Prepare Monthly Vending Machine Micro Market Reports, including gross profit, month‑end inventory, and journal entries.
- Process Lawson requisitions and act as Purchase Card holder.
- Receive equipment purchases in Lawson and update the VMS system with fixed‑asset numbers.
- Enter information into the VMS system for Micro Market contracted vendors and vending data.
- Manage customer‑service calls and emails regarding broken machines.
- Prepare documentation for commission reports to ensure payments to commands based on MOA parameters.
- Maintain refund claims for contracted and NEX‑owned machines, ensuring proper logging in the VMS system and receipt of reimbursements from vendors.
- Assist with warehouse and receiving functions as needed.
- Order office supplies for vending associates.
- Maintain payroll and time cards for associates.
- Maintain Sub‑Custody Change Fund documents from the Cash Office.
- Pass appropriate background checks, including Federal DOD Security Clearance as required.
- Must be a U.S. Citizen.
- One year of progressively responsible clerical or office work demonstrating the ability to perform satisfactorily at the required grade level.

- Additional specialized experience of one year performing clerical or administrative support duties in a related area demonstrates the ability to perform the work of the position.
- Where applicable, education may be substituted for experience: one half‑year of academic study above the high‑school level can substitute for each six months of general and specialized experience.
