New Student Orientation Program Assistant

The purpose of this position is to support the mandatory new student orientation to ensure that students receive timely communication, up-to-date information and documents, and that administrative tasks related to orientation are completed quickly so that students do experience minimal barriers.
Responsibilities- Communicate with new students regarding the new student orientation.
- Email with students regarding orientation. Maintain the Orientation inbox up to date.
- Answer phone calls and return voicemails regarding the new student orientation.
- Maintain and update orientation LMS content to ensure accuracy, relevance, and effective student engagement.
- Conduct quarterly reviews of LMS course content to ensure information is current; implement updates or communicate needed revisions to the Director as appropriate.
- Create, inventory, and update materials for in-person orientation.
- Log and monitor RSVPs for in-person orientation.
- Schedule rooms and submit associated facilities and service needs.
- Enter and synthesize post-orientation data into reports.
- Add and remove holds from students’ accounts.
- In ctcLink system remove service indicators for students as they complete the new student orientation.
- Release informational service indicator and place registration hold service indicator for students who have not yet completed orientation by the designated time.
Minimum Qualifications
- Customer service experience
- Experience utilizing Microsoft products, especially Excel for data entry and analysis and forms
- Experience designing print materials like flyers and pamphlets
- A minimum of a high school diploma or equivalent
Preferred Qualifications
- Prior experience working in higher education
- Experience using the ctcLink platform
- Experience using Canva
Note:
We are unable to sponsor visas for this position. Only candidates who are currently authorized to work in the United States will be considered.
Hourly employees must work 480 hours in a rolling six-month period to become eligible for health benefits. Hourly employees must work 70 hours in any five months for two consecutive years to become eligible for retirement.
This is an hourly position scheduled to work up to 18 hours per week, with a salary of $19.56 - $25.96. It is a part-time classified position. All classified positions will start their salary at Step A; after completing six months of probation, there is an increase of 2 ranges upon probation completion. A collective bargaining agreement exists, and this position is covered by the Washington Public Employees Association (WPEA) Union.

Conditions of Employment
Prior to a new hire, a background check including criminal history will be conducted. Information from the background check will be considered in determining the applicant’s suitability and competence. Candidates will also be required to complete the Sexual Misconduct Disclosure Form as required by policy WB HB 2327. The employee must reside in Washington State and within a reasonable distance of the campus to respond to workplace reporting requirements.
Frequent travel to Olympic College campuses or other sites may occur.
