JOB DESCRIPTION - WYCA ADMINISTRATIVE COORDINATOR
The Washington Youth ChalleNGe Academy is a division of the Washington Military Department and aligns with the department’s mission and responsibilities. The program is essential in meeting the Department’s mission of protecting lives and communities, as the WYCA enhances resiliency in communities through an alternative education experience for youth.

General Description:This position will provide clerical support to the assistant principal and assist staff, students, parents, community, and vendors as necessary. This position is also responsible for the coordination of student records systems and related databases required for federal, state and district reporting, testing and assessment.
Reports to and evaluated by: WYCA assistant principal or designee
Responsibilities:- Student Database Management, ensuring all reporting regulations from state and local agencies regarding student records are met. Manage security, data mapping, and coding (in Qmlativ).
- Responds to inquiries from staff, students, parents, outside agencies and the community to provide information or referral to appropriate resources
- Prepare and generate documents and reports to provide current and accurate information as requested.
- Attend meetings and training as required to improve knowledge and skills.
- Maintain records and documents (i.e., student records, district/state/federal records, personnel/payroll records, district files) according to district policies and procedures.
- Schedule student/school/community events and activities (i.e. principal and program calendar, facility use, staff/group meetings, student activities)
- Facilitates accurate and timely information maintenance and data exchange between multiple agencies and databases.
- Prepares and submits complex State, Federal, and local reports, extracting data from electronic and manual sources.
- Analyzes and evaluates databases for completeness, accuracy and consistency. Develops process improvements as necessary.
- Participates in the on-boarding and acclimation of Bremerton School District personnel new to the Washington Youth Challenge Academy.
- Coordinates the tracking, completion, and collection of audit source documents. Maintains current and historical records related to academic curricula, calendars, and schedules.
- Synchronizes from multiple sources the preparation and dissemination of student progress reports, academic awards, and final grade reports. Coordinates the collection and distribution of official educational records to commencing students.
- Oversees records management for the WYCA Academic Department. Ensures records retention and destruction is in accordance with State law and policies and procedures of the Washington Military Department, Washington Youth Challenge Academy, and Bremerton School District
- Coordinates, prepares, and disseminates the annual work contract calendars for the represented Bremerton School District staff stationed at the WYCA, as well as additional calendars supporting the operations of the WYCA and Academic Department.
- Coordinate data collection, archiving, retrieval, and use of student management software to meet the District’s needs.
This includes developing reporting methods and coding methods to assure consistent and accurate information is entered into the system. - Request substitutes to maintain adequate staff coverage

Bachelor's degree or equivalent combination of education and relevant work experience preferred. - Education:
