Job Summary
As a Payroll Administrator, you will be directly responsible for all aspects of payroll processing and payroll accounting for a multi‑state workforce, ensuring accurate, compliant, and timely payroll delivery.
Responsibilities- Process weekly and bi‑weekly payrolls for exempt, non‑exempt, union, and non‑union employees across multiple states.
- Prepare payroll files including direct‑deposit ACH, Positive Pay, stop‑payments and reversals, and transmit them to the bank for processing.
- Reconcile payroll calculations with FLSA overtime and multiple pay rates; audit pre‑payroll reports to ensure accuracy.
- Process voluntary and involuntary payroll deductions, payroll advances and employee savings payouts.
- Resolve outstanding uncashed payroll checks and manage employment verification, unemployment claims, and final pay for terminating employees.
- Review and upload time‑tracking data from Workday, Epicor, and Maximo; address inconsistencies and provide support for sites that do not use Workday.
- Audit payroll transactions and reconcile variances between payroll and HR systems.
- Assist employees with payroll inquiries and support HR onboarding audits.
- Provide mentorship and training to Payroll Specialists; act as functional lead on multi‑state payroll tax, retroactive pay, garnishments, and related regulations.
- Support month‑end, quarter‑end, and year‑end payroll reporting and related projects.
- Document workflow and recommend process improvements to increase efficiency and accuracy.
- Associate’s degree in Finance (required) or equivalent combination of education and experience.
- 3–5 years of Finance or Accounting experience; previous Payroll experience preferred.
- Knowledge of GAAP and payroll‑related regulations.
- Strong attention to detail, accuracy, and problem‑solving skills.
- Excellent planning, organizing, and communication skills.
- Proficiency with payroll systems (incl. Workday Payroll) and computer applications.
- Stress tolerance and the ability to work independently with minimal supervision.
- Valid state driver’s license preferred; ability to obtain and maintain coverage by Tessera’s insurance.
- Capability to obtain required security clearances for federal military installation access.
- Background check and E‑Verify will be required.
