Job Description

The State Supported Living Center requires an Administrative Assistant to provide highly complex administrative support to the Assistant Director of Administration. Responsibilities include scheduling, receptionist duties, information dissemination, report compilation, filing system maintenance, and offering technical, HR, and policy advice to staff. The role demands tact, diplomacy, and planning to meet shifting deadlines with minimal supervision.

Essential Job Functions
  • Maintain data systems, perform data entry, retrieve and process reports, correct entry errors, and complete related tasks.
  • Provide quality customer service via telephone, email, fax, and in‑person inquiries regarding departmental procedures in a positive and professional manner.
  • Respond to information and referral requests both externally and internally, handling inquiries about programmatic processes, rules, laws, regulations, and procedures.
  • Exercise discretion and judgment when responding to inquiries concerning rules and standards while maintaining confidentiality of program information.
  • Prepare confidential materials, correspondence, memos, reports, and complex tables based on drafts or transcribed data.
  • Draft routine correspondence, proofread, edit, propose improvements, and track correspondence for the Director.
  • Maintain and coordinate the Assistant Director’s calendar and review daily schedules.
  • Ensure timely approval and appropriate routing of documents.
  • Provide guidance and technical assistance to administrative staff regarding policies, rules, and procedures.
  • Backup the facilities annual inventory.
  • Perform other duties as assigned.
  • Knowledge, Skills, and Abilities
    • Working knowledge of business English, grammar, spelling, punctuation, basic bookkeeping practices, and business math.
    • Knowledge of departmental rules, regulations, policies, and procedures.
    • Skills in using a personal computer and software packages (Word, Excel, Fox Pro, PowerPoint, Access, Windows), laser printers, LAN, electronic file maintenance, photocopier, and fax equipment.
    • Ability to apply and interpret departmental rules, work independently on complex tasks, produce accurate reports and correspondence, type accurately from drafts, exercise sound judgment in task prioritization, and maintain professional relationships.
    Initial Screening Criteria
    • Two or more years of administrative executive‑level support.
    • Experience working with the public both in person and by telephone.
    • Extensive experience drafting correspondence, preparing spreadsheets and reports, and using MS Access.
    • Experience scheduling and daily maintenance of calendars for an executive level supervisor.
    • Experience proofreading and editing documents using Microsoft Word and Outlook.
    • Strong attention to detail and following instructions.
    • Effective written communication with correct grammar and spelling.
    • Experience working with deadlines, sensitive information, legal documents, and interpretation.
    Additional Requirements
    • Applicants must pass a fingerprint criminal background check, pre‑employment drug screen, and registry checks (CANRS, Nurse Aide, Medication Aide, HHS List of Excluded Individuals/Entities).
    • All State Supported Living Center employees are subject to random drug testing.
    • Required overtime/extended hours may be necessary.
