Summary:

Provides direct administrative and clerical support to Business Services, assisting with the organization, tracking and processing of district-wide insurance, claims, litigation-related records, public records requests, and other complex or confidential departmental records and correspondence. Supports administrative activities related to District insurance programs and claims, including maintaining required documentation and coordinating with insurance providers, claims administrators, legal counsel, District staff, and other agencies as appropriate.

Supports the organization and processing of District business, operating, and service contracts, including maintaining contracts within the District's document management system, tracking required documentation, insurance and training requirements, and assisting with the review of contracts for completeness and accuracy under the direction of the Chief Business Official.

Key Responsibilities Include:

  • Provides administrative and clerical support to Business Services and the Chief Business Official.
  • Maintains confidential records related to insurance, claims, litigation, contracts, public records requests, and other departmental matters.
  • Assists with processing and tracking District insurance claims, documentation, deadlines, and correspondence.
  • Coordinates with insurance providers, claims administrators, legal counsel, District staff, vendors, and outside agencies as needed.
  • Assists with processing public records requests, including tracking requests and gathering responsive records.
  • Reviews contracts and supporting documents for completeness, required signatures, insurance, training, and other requirements under the direction of the Chief Business Official.
  • Tracks contract renewals, expiration dates, insurance certificates, and other compliance deadlines.
  • Prepares correspondence, reports, spreadsheets, forms, and other Business Services documents.
  • Assists with meetings, scheduling, research, and special projects as assigned.
  • Handles sensitive and confidential information with discretion and sound judgment.
  • Performs other related duties as assigned.
