Due to increased growth, we are looking to add a Service Scheduling Administrator to our Plantsville, CT, team. The Scheduling Administrator plays a key role in keeping service work organized and on track, coordinating technician schedules across upcoming weeks and months while supporting the overall operations of the department. Success in this role requires a customer‑focused mindset, strong communication skills, a results‑driven approach, and a commitment to integrity and organizational excellence.
Job Responsibilities- Assists sales personnel in opening jobs, to ensure correct information has been entered to accurately bill and maintain the job.
- Assists in obtaining information needed for each job such as PO#’s, tax‑exempt forms, insurance certificates, utilization reports, credit applications and certified payroll information.
- Ensures all materials for the job are entered into the system to ensure correct costing.
- Schedules service sprinkler technicians.
- Relays information to and from customers, field technicians, and supervisors.
- Enters service work orders and field quotes.
- Contacts customers via phone or email to schedule service.
- Maintains positive customer relationships.
- Works closely with the Inspection & Service team both office and on‑site with Inspectors/Techs.
- Verifies when reports have entered the database and are ready for billing.
- Maintains customer and/or system information in database(s).
- Might assist the Billing Admin or the Inspection Manager with special projects such as distribution of marketing materials, filing, payroll/time backup, renewals.
- Familiarizes with customer accounts.
- Familiarizes with types of sprinkler systems and time frames for inspections.
- Supports other W&M teams in their initiatives.
- High School Diploma/GED or higher.
- One to two years of experience in an office/administration role.
- Pleasant and professional demeanor with the ability to multi‑task.
- Strong customer focus with the ability to follow tasks through to completion.
- Ability to work independently and exercise sound judgment in both routine and unique situations.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office products.
- Ability to be flexible and adapt to scheduling changes.
- Valid driver’s license.
- Scheduling or dispatching experience.
- Exceptional computer skills beyond standard office software.
- Strong problem‑solving skills with a proactive approach to challenges.
- Office environment with moderate noise levels.
- Mostly sedentary role with the need to move about the office to file, copy, scan, and fax.
- Ability to be on the phone and computer consistently throughout the day.
