Overview
The State of Connecticut Department of Mental Health and Addiction Services (DMHAS) is seeking a detail‑oriented and highly organized Administrative Assistant for the Behavioral Home Health Unit located in Bridgeport, CT. This full‑time position (1st Shift, Monday‑Friday, 8:00 am‑4:30 pm) will provide essential secretarial and administrative support to the Director of Behavioral Home Health and the agency.

Full‑time (40 hours), 1st Shift, Monday‑Friday 8:00 am‑4:30 pm - Position Number: 110818
- Perform duties with strict adherence to confidentiality and regulatory compliance.
- Coordinate meetings, take notes, and compose professional meeting minutes.
- Manage correspondence on behalf of the BHH Director and handle inbound/outbound mail or packets.
- Assist with agency events, project planning, and implementation.
- Data entry and generation of reports using Excel, Word, Access, SharePoint, and Adobe.
- Input BHH Health Status data into Carolan and run Tableau reports.
- Manage room reservations and Outlook calendars.
- Collaborate with the IT department on office phone systems, user accounts, and related issues.
- Coordinate and monitor staffing schedules for BHH, including group activities.
- Analyze and provide insights from Tableau reports to staff.
- Maintain office supplies and equipment inventory, coordinating purchases with the Business Office.
- Submit work requests and monthly mileage sheets; coordinate vehicle and building-related issues with Plant Operations and property management.
- Organize and manage administrative and confidential digital and paper files.
- Supervise the office assistant and provide backup coverage for reception duties.
- Answer calls, greet and direct visitors/clients, take messages, and coordinate with security, agency staff, and providers.
- Four (4) years of experience above the routine clerk level in office support or secretarial work.
- One (1) year of General Experience must have been as a Secretary II or its equivalent.
- College training in secretarial sciences may be substituted for General Experience on the basis of 15 semester hours equaling up to two (2) years of experience.
- Proficiency with Microsoft Office Suite (Outlook, Teams, Word, Excel, Access, PowerPoint, Publisher, SharePoint), Citrix, Tableau, and Adobe tools.
- Experience in taking professional meeting notes and preparing accurate, well‑organized minutes.
- Ability to adapt to shifting priorities and reorganize tasks efficiently.
- Experience working in professional environments requiring a high standard of conduct, communication, and confidentiality.
- Experience managing Outlook calendars and scheduling meetings or room reservations.
- Experience collaborating with IT departments to resolve issues related to phone systems, user accounts, and computer equipment.
- Experience coordinating staffing schedules, group activities, or similar scheduling functions.
- Experience maintaining inventory of office supplies and coordinating purchases with business office staff.
- Experience organizing, managing, and safeguarding confidential administrative files, both digital and paper‑based.
- Experience supervising administrative staff and providing coverage for front‑desk or reception duties.
