Position Overview
Administrative Assistant – Behavioral Home Health (BHH) Unit, Southwest Connecticut Mental Health System (SWCMHS).
Location:
Bridgeport, CT. Full‑time, 1st Shift (8:00 am–4:30 pm).
- Execute all administrative duties with strict adherence to confidentiality and regulatory compliance.
- Coordinate and document meetings: schedule, take notes, and prepare professional minutes.
- Correspond on behalf of the BHH Director, manage inbound/outbound mail and packets.
- Support agency events and project plans, including implementation.
- Perform data entry and generate, compile, modify, and organize reports using Excel, Word, Access, SharePoint, and Adobe.
- Enter all BHH Health Status data into Carolan and run Tableau reports.
- Manage room reservations and Outlook calendars; coordinate with IT on phone systems, user accounts, and equipment.
- Monitor and schedule BHH staff activities, including group events.
- Analyze Tableau reports and provide insights to staff.
- Maintain office supplies and equipment inventory; coordinate purchases with the Business Office.
- Submit work requests and monthly mileage sheets to Plant Operations; coordinate vehicle and building matters with Plant Operations and property management.
- Organize and manage confidential digital and paper files.
- Supervise office assistant; provide backup coverage for reception duties.
- Answer calls, greet and direct visitors/clients, take messages, and liaison with security and agency staff.
- Four (4) years of experience above the routine clerk level in office support or secretarial work.
- One (1) year of that experience in Secretary II level or equivalent.
- College training in secretarial sciences may substitute for up to two (2) years of experience (15 semester hours per half year).
- Demonstrated knowledge of office administration, policies, grammar, punctuation, business communication, business math, and interpersonal skills.
- Proficiency with Microsoft Office Suite (Outlook, Teams, Word, Excel, Access, PowerPoint, Publisher, SharePoint), Citrix, Tableau, and Adobe tools.
- Experience in taking professional meeting notes and producing accurate minutes.
- Ability to adapt to shifting priorities and reorganize tasks efficiently.
- Experience managing Outlook calendars, scheduling meetings or room reservations.
- Experience collaborating with IT departments on phone systems, user accounts, and equipment.
- Experience coordinating staffing schedules, group activities, or similar scheduling functions.
- Experience maintaining inventory of office supplies and coordinating purchases with the Business Office.
- Experience organizing, managing, and safeguarding confidential administrative files (digital and paper).
- Experience supervising administrative staff and providing front‑desk coverage.
