Summary

The Operations Manager supports the Bridgeport Center, leading the administrative side of our clinical operation. Responsibilities include day‑to‑day management, recruitment, scheduling, customer service, reporting, and general administrative tasks. The role maintains accurate staffing and service delivery records, manages the master schedule, and ensures clinical cases are staffed in accordance with budgeted hours. Acting as the liaison between administrative and clinical staff, the Operations Manager is the primary point of contact for case assignment and staff availability.

Responsibilities
  • Manage day‑to‑day operations for the center.
  • Recruit, hire, and schedule staff.
  • Handle customer service and client inquiries.
  • Produce and maintain reports on staffing and service delivery.
  • Create and manage the master schedule, ensuring adequate clinical staffing per budgeted hours.
  • Support HR, operations, and clinical departments with administrative functions.
  • Serve as the primary liaison between administrative and clinical teams regarding case assignment and staff availability.
  • Perform additional duties as assigned by company leadership.
Qualifications
  • Professional knowledge and experience in scheduling and operations management.
  • High standard of ethical conduct and confidentiality.
  • Honesty and integrity in all interactions.
  • Excellent interpersonal and communication skills with internal and external clients.
Education
  • Bachelor’s Degree or equivalent work experience.
  • Preferred:
    Bachelor’s degree in Marketing, Business Administration, or Healthcare.
Experience
  • 1–2 years of medical, dental, therapy, PT, or OT office administration or scheduling.
  • 3–5 years experience preferred.
  • Prior Practice Manager experience encouraged.
Skills & Abilities
  • Strong rapport‑building skills, especially on the phone.
  • Sense of urgency and ability to work independently toward assigned goals.
  • Excellent time‑management, organization, and prioritization.
  • Attention to detail and ability to administer processes consistently.
  • Clear communication and collaborative skills with ABA personnel.
  • Professional appearance and presentation.
Computer Skills
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Proficiency using email, Outlook and database tools.
  • Accurate record‑keeping and Excel tracking.
  • Experience with Zoom and Go To Meeting .
  • Ability to learn ReThink software within 30 days.
Working Conditions
  • Travel as required to office locations in assigned area or corporate headquarters.
  • May work from Bridgeport or Newington; must live within commuting distance of both centers.
  • Exposure to intermittent sounds; high demand for telephone work.
  • Stressful deadlines may arise.
  • Standard hours: 8:30 a.m. to 5:00 p.m.; flexibility required.
  • Full‑time commitment essential.
  • Availability to read emails or take calls outside regular hours.
