Job Description

Keenova is seeking a highly polished and diligent executive administrative professional to support the CHRO and the Human Resources Leadership team. The ideal candidate has high attention to detail, and a knack for building rapport with key stakeholders. This position is especially suited to high-achieving professionals seeking an expansion of duties beyond the traditional Executive Assistant duties in a global organization.

This person must love to organize, multi-task, project manage, make decisions, facilitate and interface with internal and external parties, and have fun in a fast-paced, dynamic environment.

Responsibilities and expectations will require accurate analysis and use of initiative and independent judgment with frequent access to highly confidential and highly complex information. Manage correspondence, Board of Director and Executive presentations, metrics, and various reports and will be expected to collaborate with various staff and departments in preparing for or conducting special projects or assignments as needed. Considerable professionalism, diplomacy, discretion, and judgment are required.

Scope of Authority:
Including span of control, budget/spend authority, scope of supervisory activities, etc.

Key Responsibilities
:

  • Communicates directly, and on behalf of Keenova, with appropriate internal and external constituents, board members, and other prominent industry and community leaders on behalf of the Company.
  • Provides high level executive administrative assistance to the CHRO and the HRLT as needed screen and process calls and inquiries; plan and coordinate meetings, travel, and interviews; develop correspondence and presentations
  • Provide direct support for Board of Director meetings including document management, logistics coordination and planning.
  • Assist in the day-to-day management of the HR function overall
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the HR function, including those of a sensitive or confidential nature. Determines appropriate course of action, referral or response.
  • Designs and implements workflow processes and procedures
  • Provides a bridge for smooth communication between the HRLT and other members of leadership throughout the global Keenova organization to maintain credibility, trust and support with senior management team.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

Qualifications:

Education/Experience

  • University education preferred
  • Prior experience supporting C-Level Executive in an international organization preferred
  • Skills and experience consistent with completion of advanced education – understands and interprets written information; identifies relevant details, facts and specifications; communicates thoughts, ideas, information and messages in writing; records information completely and accurately; uses language appropriately; performs basic computations; applies rules and principles to a need
  • Strong work tenure: prioritizing work, contacts, calendar demands; screening and processing calls and inquiries; planning and coordinating meetings and travel; developing correspondence and presentations
  • Outstanding knowledge of policy, priorities, processes

  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including team, board members and vendors
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Expert level written and verbal communication skills
  • Ability to manage confidential information without issue
  • Advanced skills in the use of spreadsheet, word-processing and database application software
