Position Summary

The Administrative Assistants of the Wellness Center serve as the first point of contact for all students seeking services. The admin team prioritize customer service and active listening skills to assess the needs of our students, many of whom have not interacted with the health care system on their own. This efficient and effective team is the key to our highly successful office culture.

(Full-time, AFSCME position) TOUR OF DUTY : 8:45 a.m. to 5:00 p.m. Monday – Friday (with Saturday and Sunday as days off). (Subject to Change) This is a non-essential position. This is a Full-time, 12 month, AFSCME unit position and is subject to the terms of that union agreement. We are looking for equity-minded applicants who demonstrate a sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds present in our community.

1. Support the Assistant Director of the Wellness Center with budget management; prepare online purchase orders, and monitor the status of purchases, deliveries and payments.

2. Provide detailed coordination of special events coordinated by the office; reserve rooms, order food, reserve parking, arrange for signage, create invitations, flyers and nametags, maintain RSVP spreadsheets, prepare certificates, and other essential details as needed. Also, exercise independent judgment to solve problems with assigned events as they arise.

3. Maintain records of all events and programs managed by the Wellness Center for Annual report.

4. Create and manage departmental databases to support the operations of the Wellness Center.

5. Stay current on topics related to diversity, equity, inclusion and belonging and assist in creating a welcoming and inclusive environment.

6. Assist in training and support for all student employees and interns within the Wellness Center. Monitor time reporting and assist in the delivery of high quality co-curricular programming for all students and interns.

7. Maintain awareness of all Community Health and Prevention databases, policies and procedures to assist CHP team as needed.

8. Maintain oversight for international and medically complex student immunization and treatment issues. Coordinate exemption processes for students with medical or religious barriers to completion of Massachusetts requirements.

9. Perform other duties and projects as assigned.
