POSITION TITLE:

PER DIEM SUBSTITUTE SCHOOL ADMINISTRATOR

DEPARTMENT:

SUPERINTENDENT OF SCHOOLS, CHIEF OF TALENT MANAGEMENT OR THE BUILDING PRINCIPAL/ADMINISTRATOR TO WHOM ASSIGNED FOR THE DAY

SUMMARY:

Provides temporary, on-call administrative coverage in a school building on a per diem basis, filling in for the Principal and/or Assistant Principal as needed. Individuals in this role are called upon from a substitute administrator pool; there are no set or guaranteed hours, and assignments, frequency, and duration vary significantly depending on district and building needs. The primary responsibility of this position is to maintain a safe, orderly, and supportive school environment by actively supervising students and staff, managing student behavior, responding to emergencies, and communicating with parents/guardians.

This role does not carry the ongoing instructional leadership, personnel management, budget, or long-term planning responsibilities of the regularly assigned building administrator.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Other duties may be assigned based on the needs of the building on a given day.

  • Provides on-site administrative coverage and presence in the absence of the building Principal and/or Assistant Principal(s).
  • Actively supervises students throughout the building, including classrooms, hallways, cafeteria, recess/outdoor areas, arrival and dismissal, and extracurricular or after-school activities as assigned.
  • Monitors the general operation of the building and provides direction and support to certified and support staff to ensure a smooth school day.
  • Responds to student behavioral incidents, including de-escalation, disciplinary decisions consistent with the district's code of conduct, and documentation of incidents.
  • Serves as the primary administrator on-site for emergency situations (medical, safety, or security), implementing established emergency response and crisis procedures, including lockdowns, evacuations, and medical emergencies.
  • Fields and responds to phone calls, walk-ins, and other communications from parents/guardians regarding student attendance, behavior, dismissal, and other day-to-day concerns.
  • Coordinates with the school nurse, front office, and support staff on student health, attendance, dismissal, and safety matters.
  • Communicates promptly with the Superintendent, Central Office, and/or the regularly assigned administrator regarding significant incidents, decisions made, and matters requiring follow-up.
  • Ensures building safety and security protocols are followed, including visitor check-in and supervision of building access points.
  • Maintains professionalism, discretion, and confidentiality when handling student records, disciplinary matters, and sensitive family communications.
  • Reviews building-specific schedules, procedures, and emergency plans at the start of each assignment.
  • Completes end-of-assignment notes summarizing incidents, decisions, and items requiring follow-up by the regularly assigned administrator.
SUPERVISORY RESPONSIBILITIES:

Provides real-time supervision and direction to students and building staff during the assignment period, in accordance with district policy and applicable law. This position does not typically carry out ongoing personnel functions such as hiring, formal performance evaluation, or progressive discipline of employees, which remain the responsibility of the regularly assigned administrator; immediate conduct or safety concerns are addressed on the spot and referred for formal follow-up as appropriate.

QUALIFICATION

REQUIREMENTS:

EDUCATION AND/OR

EXPERIENCE:
  • Master's Degree preferred, Sixth-Year preferred
  • Prior experience in a K-12 school setting
  • Experience supervising students and managing student behavior strongly preferred.
CERTIFICATES, LICENSES & REGISTRATIONS:

Valid Connecticut Intermediate Administrator (092) certification preferred. Candidates who hold a valid State and district background check, fingerprinting, and clearance are required prior to placement in the substitute administrator pool.

LANGUAGE

SKILLS:

Ability to communicate clearly, calmly, and professionally, both verbally and in writing, with students, staff, parents/guardians, district administrators, and emergency responders, including under time pressure.

MATHEMATICAL

SKILLS:

Basic mathematical skills sufficient to manage attendance counts, schedules, and related day-to-day administrative tasks.
