Position: Confidential Administrative Aide (Administrative Assistant 1, LG)-Washington County Children & Youth

THE POSITION

Washington County Children and Youth Services (CYS) is seeking a professional individual to join our team. This Administrative Assistant 1 position serves as a Confidential Administrative Aide. Your work will directly support the administrative superior to ensure smooth operations in our agency.

DESCRIPTION OF WORK

This position is responsible for performing a variety of administrative staff assignments. Your work will help keep key agency processes and communication organized and efficient. As a Confidential Administrative Aide, you will perform the following duties:

  • Executive Assistance:
    Serve as a confidential secretary to the CYS Administrator
  • Administrative Support:
    Manage daily clerical tasks, conduct research, and analyze data
  • Communication:
    Answer, screen, and rout calls for administration; prepare letters; work with the receptionist resolve issues from both callers and visitors
  • Personnel Processes:
    Maintain personnel files; work with human resources on hiring; and complete required paperwork related to hiring, promotions, transfers, and related pay adjustments
  • Record Maintenance:
    Keep spreadsheets to track employee clearances and agency equipment, ensuring inventories and listings are current and accurate
  • Scheduling Coordination:
    Make and track travel arrangements for hotels and conferences; help book conference rooms
Work Schedule and Additional Information
  • Full-time employment
  • Work hours are 8:30 AM to 4:30 PM, Monday - Friday, with 30-minute lunch.
  • Telework:
    You will not have the option to telework in this position.
  • Salary:

    In some cases, the starting salary may be non-negotiable.

Required Experience, Training & Eligibility QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Such training as may have been gained through graduation from a four year college or university; or
  • Any equivalent combination of experience and training.
  • Applicants will be considered to have met the educational requirements once they are within three months of graduating with a qualifying degree.

  • You must be able to perform essential job functions.
Legal Requirements
  • You must pass a background investigation.
  • A conditional offer of employment will require a medical examination and a drug screening.
  • This position falls under the provisions of the Child Protective Services Law.
  • Under the Law, a conditional offer of employment will require submission and approval of satisfactory criminal history reports including, but not limited to, PA State Police clearance, PA Child Abuse history clearance, and FBI Fingerprint clearance.
