Job DescriptionThe Administrative Assistant performs a wide variety of administrative duties to assist full‑time professional staff members within Student Accessibility Services (SAS), a unit in the Center for Student Academic Success (CSAS).
Essential Functions- Convey information and answer questions related to SAS procedures to prospective and current students and families as well as faculty and educational consultants (phone calls, walk‑ins, e‑mails).
- Assist the Director in routine office functions; participate in initial intake of information with prospective students and families.
- Work with new students in providing an overview of the office and services available.
- Assist the SAS department with the security of confidential materials including medical/disability related information, student files, and assessments; proctoring.
- Recruit, hire, schedule, train, monitor, and process payroll for office assistants.
- Supervise and provide ongoing feedback for work‑study students.
- Develop training materials for new hires.
- Serve as first contact for current students, faculty, and prospective students related to disability policies and procedures.
- Operate testing space; receive exams, log test takers, maintain integrity of testing area and equipment.
- Process payments and initiate contracts for student support vendors (e.g. sign language interpreters, C‑print, note takers, etc.).
- Maintain SAS files throughout calendar year; create and organize new student files and records.
- Maintain SAS database; work with University Resource Planning (ERP) system; provide support using Microsoft Office.
- Ensure timely operation of the Student Accessibility Services area including communication of services and delivery of accommodations.
- Recruit and manage note‑taking assistance; acknowledge and compensate note‑takers each semester.
- Prepare payroll information for student workers.
- Communicate with outside offices to ensure delivery of student support services.
- Prepare SAS student and family sessions for New Student Orientation; handle logistics and email notification.
- Input and reconcile General Ledger expenditures; use University system for budgeting.
- Coordinate travel arrangements for professional staff; secure flights, hotels, and conference details.
- Receive, route, sort, and deliver incoming mail; answer and screen telephone calls with customer service.
- Maintain and report disability‑related work‑study hours to the Financial Aid Department to meet federal requirements.
- Maintain calendars for assigned staff and schedule necessary meetings.
- Perform data entry duties to support departmental databases.
- Order and maintain adequate supplies; process requisitions and billing per procedures.
- Associate’s degree or equivalent based on experience.
- 3–5 years of increased responsibility in an office setting.
- Work with little or no supervision.
- Flexible thinker who can quickly shift priorities and tasks.
- Highly organized; team‑oriented fast‑paced environment.
- Attention to detail with excellent communication skills.
- Sensitivity to the needs of students with disabilities from diverse backgrounds and experiences.
- Critical thinking skills and sensitivity to working with a broad array of students.
- Demonstrated ability to learn and efficiently use complex computing applications on systems and programs, including the University’s enterprise computer system, Microsoft Office and disability‑related database systems.
- Bachelor’s degree in Special Education, Rehabilitation Studies, Social Services, or related field.
- Experience working in a university environment.
